- Liaising with Manager and Assistant Manager of School Communities to provide information for docent and educator scheduling to ensure staff and docent availability
- Communicating details about group visits and tour scheduling across departments
- Solving any challenges related to tour logistics as needed
- Accurately enters all data for tour bookings into Events Management System (EMS) software.
- Provides a positive customer service experience for preK-12, colleges, and adult tour groups by
- Having a thorough knowledge of all tours and programs to help visitors make decisions about tour bookings
- Communicating with teachers and other groups to confirm tour bookings
- Making adjustments to existing reservations as needed
- Generates communication throughout the museum in order to inform staff of any programs with potential scheduling conflicts by
- Attending the weekly scheduling meeting
- Liaise with VEX, L&CE, Curatorial, Conservation, Development, and other departments to ensure accurate and timely communication about all guided and self-guided group visits and virtual tours
- Collaborates with VEX and L&CE teams to support administration and logistics of self-guided group visits.
- Communicates scheduling, logistics, and attendance of self-guided group visits across departments, including VEX and Security.
- Identifies opportunities to collect school contact information for future communication.
- Provides quantitative and anecdotal data for reporting to the interdepartmental Metrics Team.
- All other duties as assigned.
- Prepares materials, contracts, invitations, resources and tracking attendance of the annual calendar for docent enrichment.
- Prepares and maintains the monthly tour schedule, including all tour dates, staff and docent availability, assigned shifts, etc., monitoring and communicating revisions as needed.
- Serves as a secondary point of contact for docents to answer questions and solve challenges, in the absence of the Manager of Gallery Experience.
- Provides support to the docents executive committee (DEC), as requested by the Manager of Gallery Experience, including attending regular meetings.
- Conducts tour observation and docent evaluations for assessing docent training and performance, as assigned.
- Maintains accurate contact information by creating, distributing, and updating group contact information as needed.
- Coordinates the distribution and collection of yearly docent agreements, tour scheduling, and other HR-required documents.
- Participates in docent enrichment trainings on gallery pedagogy, current and future exhibitions, inclusive and culturally responsive teaching, and a wide range of other topics.
- Assists Manager with new docent recruitment, interviews and the selection of candidates, as needed.
- Assists Manager with the onboarding and training of new docent candidates, as needed.
- All other duties as assigned.
- Assists with administration, logistics, and communication to current and potential partners or tour audiences in Baltimore City, County, and the state of Maryland.
- Collaborates with Manager and Assistant Manager to identify new potential partnerships and resources.
- All other duties as assigned.
- HS/GED diploma required.
- At least 1 year of experience working with youth in informal or formal educational settings.
- Demonstrated customer service skills.
- Demonstrated effective written and verbal communication skills and public speaking skills.
- Ability to communicate effectively with students and adults of diverse ages and backgrounds.
- Demonstrated organizational and administrative skills, especially with managing multiple schedules.
- Must be detailed oriented, have demonstrated organizational and time management skills, and ability to prioritize tasks.
- Demonstrated experience with computer software to include Google Suite, Microsoft Word, Excel, and Outlook.
- Experience planning and executing events preferred.
- Knowledge of event management software or EventBrite a plus.
- Availability for a Monday-Friday workweek and weekends as needed.

OVERVIEW OF ROLE
The Gallery Experience Associate is a team member in the Gallery Experience Unit of the Visitor Experience (VEX) Department. This role is responsible for supporting the Walters Art Museum’s docent team and tour program. The Associate works closely with the Manager of Gallery Experience to ensure a positive experience for adult and school groups who would like to engage with the museum both in a guided and self-guided capacity, including onsite and virtual experiences. In addition, the Associate oversees the administrative management and schedules of docents and staff educators facilitating the group visits.
PRIMARY RESPONSIBILITIES
Facilitates group visits and virtual tour scheduling, in coordination with other members of the Visitor Experience and Learning and Community Engagement (L&CE) teams.
Supports the administrative management of the docent team.
Supports outreach efforts to strategic audiences and communities to share Walters resources, including onsite tours and virtual visit experiences.
