      OCCUPATIONAL SUMMARY

      The Joint Program Coordinator will work as part of the CME team to support Ophthalmology in planning and implementing CME activities for the Divisions. This position will report to and work in tandem with the Continuing Education and Special Events Director in performing their duties. They will also work across divisions to plan and administer educational events and provide continuing medical education credits. The CME activities include in-person, virtual and hybrid conferences, symposiums, workshops, webinars, and other special events. The Program Coordinator must be customer and team focused.

      In addition, the Coordinator will work as part of the team to support Graduate Medical Education in the administration and management of the program as well as planning and coordinating academic lectures and activities related to GME requirements. Assist in the implementation of ongoing compliance with the program's goals and objectives. Assist with monitoring required evaluations, attendance, and educational and social events, interviews, graduation events and educational events.

      WORK PERFORMED

      Program Management (35%):

      Work independently, make operational and programmatic decisions that impact the successful development, accreditation, financing, coordination and implementation of Duke Ophthalmology CME Conferences and Community Activities, as well as other Duke Ophthalmology CME Activities as assigned.

      Research, evaluate and recommend venues for educational courses. Work closely with the hotel vendors for all logistics including meeting and exhibitor space requirements, AV electrical, room blocks etc.

      Investigate, recommend, and implement event technology tools to maximize engagement and provide added value.

      Establish event goals and objectives with Faculty Course Directors and develop metrics to determine success through return on investment, key performance indicators and insights measured through surveys and evaluations.

      Residency Program (35%):

      Assist the Program Director in the implementation, and management of the Duke Eye Center Residency Program. Acquire knowledge of current rules, regulations, and institutional requirements. Develop a thorough knowledge of residency databases to enhance residency program and department efficiency.

      This includes but is not limited to:

      • Assist in the application and selection process for Resident selection
      • Provide management assistance to Program Director, other faculty, residents, & other departmental staff) by supplying shared clarification of organizational and departmental policies, standards, operational procedures, and guidelines
      • Manage the annual evaluations process of residents, office staff, faculty, and program directly involved with resident education .
      • Work with staff assistants to schedule faculty lectures for resident education
      • Coordination of graduation and orientation events

      Planning and Administration (25%):

      Collaborate with planning committee(s) on the educational formats and audience interaction methods for a variety activities and public events; advise and recommend innovative (virtual, hybrid) event formats based on goals/objectives.

      Prepare and monitor budgets for final financial reconciliation under the direction of the Program Director. Work with Exhibitors to navigate support for wet labs and educational conferences.

      Manage conference arrangements: site location, A/V, food and beverages.

      Manage faculty, attendee, staff, and sponsor logistics.

      Work closely with the Marketing and Communications team to develop strategies to increase program awareness, conceptualize brochures, and other necessary marketing materials for events.

      Communicate and provide updates regularly with the CME team, course faculty, guest faculty, Duke CEPD, third-party meeting management company (if applicable), professional associations, sponsors/exhibitors, hotel management etc. throughout the course lifecycle

      Other 5%

      Perform other related duties incidental to the work described herein.

      MINIMUM QUALIFICATIONS

      Education

      Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

      Experience

      Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
