      Definition:

      Horseshoe Bay Resort is seeking a detail-oriented, organized, and proactive Golf Administrator to support the daily operations of the Golf Department. This position plays a key role in ensuring a seamless back-end process that enhances the overall guest and member experience across all golf facilities. The ideal candidate will have strong administrative skills, a collaborative mindset, and a passion for supporting a high-performing golf operation.

      Key Responsibilities:

      • Special Orders & Demo Day Support
        • Manage and track all member and guest special orders from demo days and fittings.
        • Coordinate with vendors and golf professionals to ensure accurate and timely order fulfillment.
        • Communicate status updates to members and guests as needed.
      • Procurement of Operating Supplies
        • Order and manage inventory of all operational supplies for the golf department, including scorecards, pencils, golf cart supplies, signage, and retail packaging.
        • Maintain organized supply rooms and storage areas.
        • Ensure budget adherence and cost tracking for all purchases.
      • Invoice & Payment Processing
        • Process all departmental invoices accurately and in a timely manner.
        • Work closely with the accounting department to reconcile vendor statements and resolve discrepancies.
        • Track expenses and support month-end reporting as needed.
      • New Hire Onboarding Assistance
        • Assist in onboarding new golf team members by scheduling orientations, providing uniform and supplies, and ensuring all HR paperwork is completed.
        • Serve as a liaison between new hires and department leadership during the onboarding process.
      • Administrative Support
        • Maintain accurate records for demo equipment, vendor agreements, and department schedules.
        • Assist with organizing departmental meetings, training sessions, and employee communications.
        • Support the golf leadership team with calendar coordination and administrative tasks as needed.
      • Operational Support
        • Serve as a key support person during golf events and member tournaments.
        • Provide administrative backup support to golf professionals and guest services when necessary.
        • Contribute to maintaining a culture of service excellence and operational efficiency.

      Employment Standards:

      • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
      • 2+ years of administrative or customer service experience; golf or resort industry experience a plus.
      • Strong computer skills, including Microsoft Office Suite and POS systems (e.g., ForeTees, Jonas, Club Prophet).
      • Excellent communication, organizational, and multitasking skills.
      • Professional demeanor and ability to work well with members, guests, and team members.
      • Ability to work flexible hours including occasional weekends or holidays based on operational needs.
