      Job Summary

      The Corporate Real Estate portfolio comprises primarily retail branches and head office properties in Absa Bank Ghana. This role holder will lead the planning, budgeting/costing, execution and management of Capital Projects, Engineering and other services across the portfolio, and will be responsible for all components of property risk (excl Security), Management Information and compliance.

      Job Description

      Project Portfolio / Supplier Management

      Time Split: 10%

      • Ensure property projects are managed appropriately managed on a day-to-day basis, including all Construction and Refurbishment activities and Engineering activities.
      • Assist in driving savings through space, process and cost efficiency, working in conjunction with Sourcing on procurement initiatives.
      • Manage the outsourced project supply chain, ensuring appropriate level of Supplier Relationship Management.
      • Assist in Partnering with BCRES on projects that require Centre of Excellence engagement with the Johannesburg CRES (BCRES) Team.

      Project Administration and Reporting

      Time Split: 20%

      • Ensure availability and integrity of data to enable the delivery of consolidated real estate project reporting, including key metrics across the country portfolio/asset types.
      • Work with Head of CRES in agreeing tendering method, tender evaluations and assist in the preparation of project contract documentation.
      • Oversight of architectural drawings and coordinates with planning authorities to secure construction permits for Absa projects in a timely manner.
      • Work with the Head of CRES in identifying key procurement factors, select and agree a procurement procedure and preparation of procurement schedule as well as evaluating and selecting potential tenderers with the Sourcing Team
      • Monitor contract cost and forecast against budget and prepare project cost reports as per schedule agreed with Head of CRES
      • Review submitted valuations and final accounts from Contractors and negotiate variations / claims settlement prior to certification for payment
      • Prepare scope of works for projects, review project contracts and issue certificate for contracts
      • Prepare all back up schedule for cost value reconciliation (CVR)
      • Monitor project progress against performance
      • Assist in identifying and assessing budget requirements; Preparation Of budget estimate and detailed cost estimates as and when required by Head of CRES.
      • Estimating/ pricing of BOQ/Specifications for refurbishment works and other minor projects including taking off drawings.
      • Assist in preparation and pricing of Risk register
      • Maintaining effective relationship with external agencies/Clients
      • Attending site meetings, pre-start meetings and tender strategy meetings
      • Identifying and putting together stakeholder team for the projects handled.
      • Manage project programme of works, cost and supervise project to meet agreed scope, quality and timelines for the CRES project.
      • Co-ordinating the various activities of the stakeholders and maintain effective communication among stakeholders to meet project timelines.
      • Keeping proper project documentation.
      • Work closely with the Health and Safety Manager in ensuring that all Health and safety issues relating to engagement of service providers and in the execution of works are adhered to and any breaches identified closed in a timely manner.

      Functional Excellence

      Time Split: 15%

      • As part of our commitment to raise the performance of the property function across Africa and to create a sustainable African BCRES community, this role will be responsible for building and developing a high performing CRES project team as well as assisting the Head of CRES in building a strong and highly professional/motivated CRES team in country.
      • Assist the Head of CRES in the day-to-day management of the CRES team including succession, talent development, training, recruitment, performance and activity management as and when required.

      Property Policies and Risk Reporting

      Time Split: 10%

      • Assist in ensuring that the country team is compliant with all Group, BA and local regulations and policies, including delivery of all Property Risk and Compliance Attestations.
      • Assist in managing any property/ project related audit issues.
      • Assist in managing real estate risk and deliver real estate risk reporting covering areas such as PRR, risk events and dispensation and waivers.

      CRES Strategy and Engagement

      Time Split: 15%

      • Assist Head of CRES in maintaining the CRES and Portfolio Medium- and Short-Term Plans for Absa Bank Ghana, work with In-country BU and BCRES Team to ensure alignment with overall business and CRES strategy.
      • Manage internal stakeholders through periodic meetings and reporting.
      • Assist the Head of CRES in putting together Business cases for projects for submission to the Regional BCRES Head for change projects including financial options evaluation and P&L financial impacts analysis plus critical reasoning, with support from BCRES, ensure governance is complied with at all times.
      • Local delivery of strategy via real estate transactions, supply chain management etc.
      • Lead in seeking in country cost committee approvals for projects.

      People Management

      Time Split: 20%

      • Assist in building and developing a high performing Project team through embedding performance development and coaching. Ensure that team members receive coaching and feedback in order to develop to achieve their maximum potential.
      • Assist in identifying talent candidates in the team and ensure that additional development opportunities are created for high potential employees.
      • Create an empowering environment for team members, encouraging individual ownership and initiative.
      • Assist in offering mentorship and coaching to the entire CRES team and other operations functions.
      • Assist in providing clear direction to staff on the Absa Operations business objectives, translating and prioritizing into business performance measures at team level.

      Controls

      Time Split: 10%

      • Ensure completion of RCA Control Testing process and resolution of all Operational Risk Management issues raised.
      • Review snap checks carried out in the department. Own results and follow-up with Team Leaders for all logged snap check issues for resolution.
      • Understand the appropriate Group and Policies & Standards applicable to the role.
      • Understand and manage risks and risk events (incidents) within the area of operation thereby contributing to the adherence to the Group Risk and Control Framework.
      • Ensure that practices and controls required by Policies are communicated to all relevant colleagues.
      • Ensuring compliance with the Group process for applications for waivers and dispensations and the notification of breaches of Policies as appropriate

      Essential

      • Tertiary qualification in the building sciences and Member of GhIS or Member of RICS or Member CIOB
      • At least 10 years’ experience in a Corporate Real Estate Environment,
      • Emphasis on the experience in Construction Project and Property Management
      • Proven Ability as a self-starter

      Technical Skills

      • Professionally qualified to at least degree level /local requirement.
      • Experience of corporate real estate portfolio management.
      • Experience of managing teams

      • Computer Literate
      • Strong stakeholder engagement skills
      • Articulate and numerate
      • Proven Change Agent
      • Ideally experience in a global or pan-African organization.

      Education, Certifications and Experience Required/Preferred

      • BSc. Building Technology or equivalent relevant to the built environment
      • Masters in construction management & project management or construction and real estate management or similar programmes
      • Member of Ghana Institution of Surveyors or Royal Institute of Royal Surveyors or Chartered Institute of Builders or equivalent relevant to the built environment
      • Property & Project Management background
      • General knowledge of Property Management
