- Maintains up-to-date employee records by processing employee status changes, completing on-boarding and processing hires, terminations, and other changes as needed through the human resources information system (HRIS) in a timely manner
- Monitors, maintains, and confirms employment verification including but not limited to background results, E-Verify, participant backgrounds, fingerprinting process, etc.
- Responsible for maintaining the HR Help Desk ticketing system and assisting with system maintenance and/or technical issues
- Maintains accurate listing of complete and incomplete I-9s for all new hires to ensure the agency follows I-9 requirements; Conducts audits of I-9 documentation
- Assists HR Business Partners (HRBPs), managers and other department leaders with retrieving data and communicating data as requested or as needed
- Conduct weekly audits to ensure all HR data is accurate for payroll processing and reporting
- Supports HR leadership and assists with various HR projects and processes
- Responsible for understanding and interpreting HR policies, procedures, or process improvements to internal customers
- Responsible for maintaining file room records, processing Department of Labor (DOL) Separation notices, and creating employee ID badges
- Occasionally assist with reconciling 403B and benefits enrollment data against the payroll register to ensure data accuracy and integrity
- Assist to resolve administrative issues with carrier representatives
- Assists with performance evaluations and related changes to ensure all evaluations are completed within the established timeframe
- Assist with open enrollment and on an as needed basis, supports the Benefits and Compensation Analyst with coordinating and maintaining the day-to-day operations of the Agency’s group benefits including group life and health insurance, FMLA, and personal leave administration and records maintenance for all team members
- Serve as backup for the receptionist desk as needed
- Perform other duties as assigned
- Associate’s degree required; Bachelor’s preferred
- Two or more (2+) years of related experience in processing, maintaining, and auditing HR data
- Certification (PHR, SPHR, CFI, CCP, etc.) a plus
- Knowledge of HR practices and employment laws
- Knowledge of HR information systems; UKG (UltiPro) system experience a plus
- Excellent oral and written communication skills as well as interpersonal skills, bilingual a plus
- Intermediate knowledge of Microsoft Office Suite
- Ability to quickly adapt to changing priorities; highly flexible
- Maintain a high level of confidentiality, flexibility, and responsiveness
- Exhibits strong customer service and able to work with employees of all levels
- Demonstrate effective decision-making skills and the ability to work independently as well as in a team environment
- Ability to exercise sound judgement and sensitivity to changing needs
- Ability to multi-task across multiple HR disciplines
- Ability to run reports, analyze data and make recommendations
- Ability to push, pull and lift up to 30 lbs. with or without accommodations to transport and/or carry HR related documents, handbooks and various supplies
- Must be able to travel to all designated Goodwill locations as needed
