Job Description

- Proactively understands and responds to executive needs and requests to achieve timely and successful results
- Creates and submits executive expense reports to ensure receipts reconcile with expense claims and UPS and Internal Revenue Department requirements are met
- Receives and vets invitations and meeting requests to determine attendance priorities and responds appropriately on behalf of the executive in a timely manner
- Develops knowledge of cultural (e.g., foreign delegations, etc.) and government nuances to ensure guests are received appropriately and a professional image of UPS is projected
- Oversees daily operations through collaboration with senior management and department leaders, performing an array of administrative tasks from managing calendars, generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities
- Builds and develops relationships with all employees for increased efficiency and effective responsiveness into existing operations, and helps define new operational strategies, working with CEO and executives on special projects
- Serves as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communication
- Detail oriented with ability to balance "big picture" concepts and necessary details, completes work thoroughly for given audience, and maintains organized files and supporting documentation
- Demonstrates knowledge of soliciting and gathering information and identifies appropriate sources of information
- Communicator in written and verbal form

UPS is seeking an experienced and dynamic Executive Assistant (EA) to support Executive Level Management in effectively and efficiently performing their organizational responsibilities. If you are extremely organized, and enjoy a fast-paced and challenging environment, we want to hear from you!
The Executive Assistant will coordinate and manage essential activities, making strategic plans to ensure all business functions are efficient and most productive. The ideal candidate will advise on projects and is the main organizer and planner of various initiatives, attending to the minute details while staying attuned to the macro vision of business operations. He/She manages executive schedules to utilize their time most effectively and coordinates travel, accommodations, and events to ensure timely attendance at meetings and events. The Executive Assistant builds relationships throughout the organization, exercises judgment and discretion, handles complex and difficult situations diplomatically, and represents the executive's office in a professional manner.
The Executive Assistant reviews and filters incoming correspondence to direct communications to appropriate channels and ensures the executive receives relevant and critical correspondence in a timely manner, coordinates the timely receipt of information required from other executives and senior managers, and composes and edits executive communications. He/She builds and maintains a network of relationships to obtain information and assistance as required and portrays a professional executive's office. The Executive Assistant manages executive contacts (e.g., business contacts, customers, social contacts, etc.) to ensure executives have access to current contact information in the office and when traveling. He/She assists and communicates with executives in decision-making, program management, and initiative implementation; oversees strategic business initiatives from development through successful execution under the guidance of senior leadership and departmental heads and improves current processes and coordinates organizational procedures for optimized efficiency and productivity.
