- Support the Innovation function with administrative needs across the team (including managing calendars and schedules), by providing administrative support to the Director of Practice Innovation and other senior team members
- Coordinate outreach and engagement with prospective and current legal tech vendors
- Coordinate meetings and collaborative sessions within and cross-functionally outside of the team
- Be a 'center of support' for the innovation function and enable information flow from both the broader firm to the team, and from the Innovation team out to the broader firm
- Support knowledge-sharing around Innovation cross-functionally within the firm; enable open communication channels, collaborative problem solving and "connect the dots" functionally, elevating relevant inquiries to the broader team
- Support the development of materials with our Innovation 'look and feel' with consistency in branding, messaging and quality (e.g. internal and external presentations and other Innovation-related materials).
- Be a 'self-starter' and fill in the gaps as may be needed; identify potential opportunities for greater cross-team collaboration, scheduling optimization and 'scheduling flow' - we believe in innovation when it comes to scheduling, too!
- Understand requirements by reviewing requests thoroughly, clarifying needs and asking thoughtful questions
- Proactively think ahead to meet and exceed expectations of Innovation team members, vendors and internal clients of the team
- Collaborate with other departments and firm support resources to achieve successful request and project completion
- Contribute to innovation initiatives as assigned by the Director of Practice Innovation and broader team
- Heavy calendaring in Outlook as required by assignment or request. Manage contact lists and send invitations and act as a proactive gatekeeper of the Director of Practice Innovation and other senior team members’ time.
- Arrange, coordinate and organize travel for the team with support from onsite agents and the online travel booking tool
- Prepare and submit expense reports and reimbursements for senior team members
- Create, format, edit, proofread, compare, print, scan, and photocopy documents in Word, Excel, and PowerPoint
- Manage conference room reservations by working closely with firm resources and our Client Concierge team; organize services/setups, advise building’s lobby desk of visitors, etc.
- Bachelor's degree and 2-4 years of previous experience in a fast-paced professional services environment
- An interest in legal innovation and an enthusiasm, spirit and drive to learn more about this quickly developing space
- Ability to work independently, manage competing deadlines and an eagerness to take ownership and initiative
- Excellent communication and collaboration skills
- Proficiency in Microsoft Office Suite and other collaboration and creative tools (e.g., Canva, Jira, digital collaboration boards), is a plus
Overview
The Innovation Team Coordinator will play a key role in facilitating and supporting Innovation for the growing Innovation team within Cleary. The role will support Practice Innovation and focus on coordination, administrative tasks, support for the Director of Practice Innovation and creation of collateral and materials that are central to the Innovation team. This role will be an integral part of the team and broader Innovation effort, and provides an opportunity to engage with Cleary's committed Innovation initiatives and support for their foundation; a human-centric people mission, to ensure that we connect people, technology and process.

The ideal candidate will be thoughtful, engage with an owner's mindset, demonstrate strong organization, adaptability, "NQ" (Navigation Quotient), and detail orientation and have a strong ability to multi-task.
The estimated base salary range for this position is $80,000 to $90,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning that it is overtime pay eligible.
