      Schwarz Partners has an exciting opportunity available for a Project Coordinator in Carmel, IN! The Project Coordinator plays a key role in supporting Project Managers by coordinating schedules, tracking progress, maintaining documentation, and facilitating communication between teams and stakeholders. They assist with project planning, ensuring timelines and deliverables are met while organizing reports, meeting minutes, and status updates. Additionally, they schedule and facilitate meetings, prepare necessary materials, and follow up on action items. The role also involves monitoring project progress, identifying potential risks, and maintaining accurate records of budgets and invoices as needed.

      The ideal candidate should have strong organizational and communication skills, the ability to work independently while collaborating with multiple teams, and proficiency in project management software such as Microsoft Project. Attention to detail, problem-solving abilities, and experience in administrative support or project coordination are highly beneficial. A basic understanding of budgeting and financial tracking is a plus. The Project Coordinator ensures smooth project execution, contributing to overall efficiency and success.

      ESSENTIAL JOB DUTIES:

      • Communicate with team members and customers to identify and define project requirements, scope, and objectives.
      • Adopt best project management practices to ensure optimal value delivery.
      • Primary point of communication interface to the customer/business for various tasks within projects.
      • Possess and demonstrate the interpersonal and leadership skills to build relationships with key customer contacts responsible for decision making. Actively listen, probe, and identify concerns. Understand customer's business and speak their language.
      • Understand the financial details and budget of each assigned project.
      • Overall responsibility for project execution including scheduling, tracking, and documenting.
      • Assist in the recovery of struggling projects and raise critical project-related issues with Project Managers and assist in their resolution if needed.
      • Capture user requirements and convert to functional requirements.
      • Manage project scope and deliverables through a structured change management process to ensure customer expectations are met.
      • Participate in kickoff meetings and propose improvements if needed.
      • Preparation and communication of project status meetings and escalation of critical issues.
      • Manage project documentation by ensuring all necessary are current, properly filed, and stored.
      • Direct project correspondences by preparing and reviewing project scopes, meeting minutes, and emails.
      • Supervise projects and coordinate all team members to keep workflow on track.
      • Identify and implement potential improvements that benefit projects and project teams.
      • Collaborate with functional peers to resolve critical issues on projects, especially resource needs and project priority.
      • Coordinating / monitoring project documentation, timelines, technical performance, budget, production, quality deliverables, and corrective action initiatives.
      • Regular and predictable attendance.
      • Work closely with the Project Managers to define, refine, and monitor the PMO process for tracking projects and creating viability for leadership.
      • Additional duties as assigned.

      REQUIRED EDUCATION AND EXPERIENCE:

      • Bachelor’s degree or 3+ years’ experience in related field.

      PREFERRED EDUCATION AND EXPERIENCE:

      • Bachelor’s degree or 3 years’ experience in related field.
      • Experience moving projects forward with minimal oversight, and ability to adapt to new information, situations, or challenges with minimal guidance.
      • Experience using project management processes and tools and establishing project management methodologies at other organizations with varying degrees of project management maturity.
      • Experience building strong relationships with collaborators across an organization and external partners.
      • Ability to communicate clearly and compellingly about analyses, insights, and recommendations, and demonstrated ability to target presentation style, written or oral, to different audiences.

      REQUIRED SKILLS AND ABILITIES:

      • CAPM – Certified Associate in Project Management.
      • Understand and practice appropriate level of decision-making skills.
      • Highest degree of integrity in all matters related to business and people.
      • Excellent communication skills.
      • Ability to function as a self-starter.
      • Ability to multi-task, think on his/her feet and react, apply attention to detail and follow-up, and work effectively and collegially with management staff and end users.
      • CAPM – Certified Associate in Project Management, preferred.
