- Assistance to include:Runs daily personal errands for Principal and family
- Assists with personal/family agendaBooks personal appointments
- Assists with arrangement of personal trips for Chairman and family/extended family
- Liaises with household staff for restock needs, placing orders/shopping as needed
- Assists the CoS with any property management needs
- creation and management of all home and personal data, vendor and personal accounts
- project management and delivery execution, as required in a support capacity
- Maintain family records, keeping and documenting detailed notes of preferences for the team’s reference
- Conducts research for personal projects
- Answers and screens a incoming phone calls, texts and emails
- Research on “cool things in the city” – cities to include anywhere the Chairman tends to travel to or is due to for future upcoming trips. To include:
- Galleries/shows/openings/anything cultural
- New hotels
- New bars
- New restaurants
- Have read every Eater/Conde Nast, etc. article
- Make contact and connections with relevant staff in “cool” places
- Work with the concierge company in place to ensure nothing is missed
- Answers all text and calls from the Chairman
- Books any required tables/reservations as needed – a lot of last minute requests
- Update calendar meticulously, building in travel time and all information required
- Work autonomously without the need to rely on the CoS during these hours
Overview
A busy professional and his team are seeking a personal assistant/lifestyle manager. You will be reporting to the Chairman and Chief of Staff. The role is located in the West Village, NYC, but can predominantly work remote (or be on call) for the latter half of the working day. The core hours for the role will be Monday-Friday from 1pm-9pm, but with flexibility on hours dependent on the time zone the Chairman is in and with some awareness of phone on the weekends. Hours from around 6pm onward are considered “on call=" being ready to reactively reply to the Chairman and his needs. Saturdays and Sundays will also be on call with swift response for small requests like reservations.
Responsibilities
Offers comprehensive assistance to CoS and other staff members during hours that overlap – e.g. 1pm – 6pm.
Qualifications
• Ability to multitask and prioritize daily workload• Fun personality, friendly and positive ; able to keep in contact with a lot of people and remain high spirited and not overwhelmed • Able to work independently • Unflappable, calm under pressure, understands how to regulate their nervous system, when working solo • Not overly corporate attitude (not stuffy and cold)• Interest in restaurants, hotels, bars etc. being “on the pulse”, and someone who has perhaps visited them or has a good understanding of the landscape• Understand the aesthetic of UHWIs and their preferred choicesRequirements
• Legally able to work within the United States• Proven work experience as a Personal Assistant• Knowledge of office management systems and procedures & generally tech savvy • MS Office and English proficiency• Happy to undergo a criminal background check and credit check (as is legally allowed)• Excellent verbal and written communications skills• Discretion and confidentiality • Excellent references required from both current and previous employers• Outstanding organizational, problem-solving, and time management skills • Excellent proven research skillsSalary and Benefits
Salary: Approx $120,000, DOE
