      Teranet Manitoba owns and operates the land titles and personal property registries as a service provider to the Government of Manitoba, Teranet Manitoba's main function is to provide certification of titles to land, maintain land records, and provide reliable information of financial interests in personal property to the public. Teranet Manitoba consists of two registries: the Land Titles Office and the Personal Property Registry. The Land Titles Office maintains all records of land ownership and survey plans, and the Personal Property Registry maintains all registrations under Personal Property legislation.

      About the Role

      The incumbent provides comprehensive clerical support to external clients and
      internal staff to help facilitate an accurate, timely and efficient flow of documents and information through Teranet Manitoba and Personal Property Registry. Regional and/or functional area variations may occur in the degree and frequency of some of the duties in this position.
      The position may be assigned to different work areas or to serve as a team member on projects as the need arises. There are two positions that are open.

      Location: Winnipeg

      Salary: $22.03/hr - $26.96/hr

      What will you be doing

      Client Service Duties:
      1. As the first point of contact, the incumbent provides exceptional customer service and respectful solutions to all stakeholders, internal and external to the
      organization.
      2. Maintain statistics related to daily client interactions and transactions.
      3. Answer basic telephone client inquiries and questions related to assigned
      queues, re-direct calls and take messages.
      4. Open, sort and route incoming mail, answer correspondence (including email), sort and prepare outgoing mail via internal client boxes or for MDA, Canada Post and courier services.
      5. Check Registration Details Application (RDA) forms and Service Request forms for completeness and accuracy.
      6. Research legal descriptions, update records and complete service request orders in a timely and accurate manner with a high level of completeness and accuracy.
      7. Process searches, communicate search result verbally and submits the
      transaction for distribution.
      8. Assist with document workflow as required within the functional departments.
      9. Operate office equipment, such as photocopiers and scanners, facsimile
      machines microfilm readers and personal computers.
      10.Compile, copy, sort and file records of office activities, business transactions and other activities.
      11.Actively participate and contribute to continuous improvement.
      12.Contribute and support a positive work environment.
      13.Assists with knowledge transfer specific to the role as required.
      14.Supports the process of reordering office supplies on an as needed basis
      15.May be asked to perform various duties to support operational tasks, services and projects and/or for career development purposes.


      Payments/Registration:
      1. Accurately record all incoming paper documents that meet registration
      requirements.
      2. Process all transactions, including payment for registrations and services through the appropriate financial system.
      3. Ensure all payments meet PCI compliance standards.
      4. Accurately reconcile daily transactions.
      5. Ensures all Builders’ Liens have been processed prior to daily registration closing.
      6. Some roles may require the preparation of bank deposits, including depositing funds at financial institutions.
      7. Support IT user testing as needed.

      About You

      • High school education or equivalent is a requirement.

      • Previous experience providing customer service in an office setting.

      • Proven ability to deliver a high level of customer service.

      • Established ability to multi-task and complete tasks with a high degree of

      • accuracy and attention to detail.

      • Excellent written and verbal communication skills.

      • Excellent data entry skills, with proven speed and a high degree of accuracy.

      • Demonstrated ability to utilize computers (i.e. Microsoft Office), navigate websites and learn various databases and applications.

      • Strong problem solving skills and experience, including the ability to assess and resolve issue

      • Effective interpersonal skills are critical, including being an effective team player, including helping each other to succeed and treating team members with respect.

      • Knowledge or experience with TPR processes, procedures and policies is an

      • asset.

      • Bilingual in French and English is a definite asset.

      • Experience with Land Titles and or The Property Registry is an asset.
