Job Description
Provide lead administrator support to the Associate Dean of Research and Faculty Affairs, managing and directing a variety of administrative, operational, academic, and human resource functions. This position must stay current with policies and procedures to guide the Associate Dean, staff, students, faculty, parents, board members, and other stakeholders to ensure compliance. Reporting to the Associate Dean for Research and Faculty Affairs, this position manages department operations with a high level of autonomy to ensure a high level of customer service and confidentiality. Specific responsibilities include working closely with the Associate Dean to develop and manage strategic planning, accreditation reporting, faculty support operations including faculty activity and performance, benchmarking peer and aspirant schools, and monitoring progress in those areas through a systematic process; develop, implement, and manage programs to support faculty research activities, including sponsored research, summer research grants, and the faculty research leave (sabbatical) program; assign faculty and students to various college and university committees and commissions; ensure university governance compliance, college committee support, procurement and fiscal support, event planning and coordination, recruiting, hiring, coordinating travel arrangements and itineraries, contract review/approval routing, retaining faculty and staff, providing oversight, organize, and track faculty/staff progress toward performance measures. Uses excellent judgement and decision-making skills to ensure the integrity and professionalism of business services, records management, and compliance. Manage internal and external relations by effectively communicating with department heads, faculty, staff, students, alumni, and other stakeholders. Is responsible for approving financial, human resources, and academic actions. Is responsible for leading preparations for the spring commencement ceremony and any other task as needed for the fall commencement ceremony. Is responsible for reviewing, generating, and analyzing mass data reports to highlight and summarize key information from various sources to include databases. Assists with event planning as needed. Handles data entry, transcription, and minute-taking.
Required Qualifications
Proven experience as an executive assistant or in a similar administrative role. Experience in higher education, specifically academics and research. Experience managing and reporting on financial data that requires understanding multiple funding sources, such as education and general funds, overhead, sponsored and foundation or private funding. Excellent organizational and time management skills with the ability to prioritize multiple tasks. Strong attention to detail and accuracy in handling complex information. Experience with data analytics and reporting tools. Proficient computer skills, including MS Office Suite (Word, Excel, PowerPoint, Outlook). Excellent verbal and written communication skills. Ability to work independently and as part of a team, demonstrating a proactive and flexible approach. Strong interpersonal skills and the ability to maintain professional relationships with diverse stakeholders.
Preferred Qualifications
Bachelor's degree or equivalent experience in a relevant field. Experience with financial, academic, university governance, and human resource management systems and procedures specific to higher education, such as Banner (finance, HR, and student), HokieMart, JIRA, Chrome River, Timeclock Plus, TEM, leave system, CashNet, Academic Works, Microstrategies, PeopleAdmin, etc. Demonstrated knowledge and experience with preparing, reconciling, and monitoring financial activity and preparing financial reports for Deans, other executives and advisory boards. Knowledge of university policies, procedures, and experience interpreting those policies to coach and direct the work of others to ensure compliance.

Additional Information
this position is eligible for hybrid telework with a maximum of two days per week remote.
