      Description

      The Maintenance Coordinator serves as in-office support for the field service technicians. This position is responsible for administering the collection and compilation of information for maintenance proposal writing, scheduling, processing, tracking, and billing. In addition, this person will assist the Maintenance Manager with various projects and project management.

      Duties include but are not limited to:

      • Main point of contact for maintenance projects onsite at HOA and condominium communities in the DMV.
      • Respond to maintenance emergencies and concerns, such as leaks, fires, HVAC, tree removal, repair and refurbishment.
      • Work location is split: 80% in-office and 20% in the field.
      • Manage in-coming calls and respond to emails.
      • Communicate and coordinate with Project Managers, Community Managers, Maintenance Contractors and Vendors.
      • Walk and inspect projects onsite.
      • Prepare proposals; enter and update contracts in the system; communicate updates and revisions to PMs, GMs, and vendors.
      • Submit daily reports.
      • Dispatch maintenance technicians, coordinate and schedule third party maintenance vendors onsite.
      • Prepare and process billing and invoicing.
      • On-call rotation.
      • Other duties as assigned.

      Qualifications

      • 2+ years of high volume phone customer service, scheduling and coordinating, data entry and clerical experience.
      • Customer service focused and team oriented.
      • Excellent communication skills, written and spoken.
      • Self-motivated, proactive, takes the initiative, and follow-up skills.
      • Ability to manage multiple projects simultaneously.
      • Ability to multi-task; work effectively and efficiently in a fast paced environment.
