Job Description

- Deliver and monitor routine Health & Safety and premises checks, ensuring compliance with national/local standards
- Act as the first point of contact for maintenance, IT, phone, and security systems issues
- Manage stock levels of essential supplies
- Support audits, compliance processes and updates to Health & Safety and Infection Control procedures
- Coordinate staff training and inductions, maintain accurate compliance records
- Assist with complaints and significant event handling, from logging to investigation support
- Maintain an understanding of key IT and clinical systems (e.g. RADAR)
- Provide system support, troubleshooting and user training
- Report IT issues and support system upgrades and best practice use
- Support operational aspects of patient complaints and special clinics (e.g. flu)
- Help manage internal and external communications, deputise when needed
- Stay informed of NHS and primary care changes that affect the practice
- Lead or support non-clinical meetings, including agendas and minutes
- Provide flexible administrative cover and act as a central hub of information

- Experience in a management support, operational, or administrative role
- Understanding of office systems, facilities management, and basic IT infrastructure
- Working knowledge of compliance requirements (e.g. CQC, H&S, infection control)
- Experience of working within a GP Surgery
- A minimum of three years experience in a customer facing environment
- Experience of handling confidential information and data
- Working knowledge of the reporting function in Systm One
- Training in Health & Safety areas
- Good standard of education

Job summary

Our team is made up of dedicated healthcare professionals and support staff, including GPs, nurses, advanced clinical practitioners, healthcare assistants, and an experienced administrative and management team. Supporting the overarching Lakeside Healthcare Group strategy, this role supports the delivery of a compliant and effective business function and service across the Stamford Practices.
Reporting to the Operations and Compliance Manager and in conjunction with the Senior Management team the individual plays a crucial role in ensuring the site maintains a satisfactory CQC rating and other regulatory standards through the delivery of effective coordination and administrative support, and compliance against coordination of premises, facilities, IT systems, human resources and health and safety. In addition, to provide a comprehensive administrative and information service to support the administrative management of a range of process including, Complaints, Significant Events, Audits Compliance reporting. Coordinating activities and communications between all staff members, patients, members of the primary health care team, secondary care and other associated parties.
