- Skilled at using Visual Lease, Office 365 and Microsoft Office, Word, Excel, Teams, and Adobe Pro
- Nimble in Microsoft Office, Co-Pilot, OneDrive, Excel, PowerPoint, SharePoint and real estate lease management software systems; experience using Workday a plus
- Sound business judgment

- Knowledge of other AI software in addition to Co-Pilot
- Manage and administer lease management database, maintaining up-to-date and accurate lease and other property and insurance records.
- Manage reporting and review of historical lease management database records ensuring all contacts, critical dates, clauses, and alerts are accurate.
- Update Company contact sheets, distribute to new Landlords, update contacts for centers as information is received via Estoppel Certificates and Landlord notices, and periodically send requests by market for updated information.
- Take the lead on building strong relationships with existing landlords and property management companies and manage these relationships on a day to day basis
- Maintain correspondence and related files for each property
- Upload contracts and related information into lease management database and set alerts for contract renewals and expirations.
- Analyze Lease Agreements to determine correctness of delivery dates, commencement dates, and rent commencement dates.
- Assist with providing updates of delivery dates, commencement dates and rent commencement dates to stakeholders.
- Assist with obtaining W-9 and landlord banking information for Automated Clearing House rent payments.
- Understand Tenant repair and maintenance obligations and field questions on a center basis.
- Prepare notice letters to Landlords (e.g., repair work, insurance certificates, contract requirements, and other matters) as directed by the in-house counsel
- Prepare lease summaries, rent commencement date certificates and other documents as directed by the in-house counsel
- Respond to lease inquiries from corporate support teams, including finance, new center operations, construction, business development and operations.
- Prepare property-related insurance claims and collaborate with the Legal Department on the filing and processing of insurance claims
- Assist in distributing Certificates of Insurance to Landlords at time of renewal and to health system partners upon request
- Prepare, send, track, and distribute documents in DocuSign for Company and Counterparty’s signatures
- Collaborate with the Company’s insurance broker on renewals, coverage, and claims issues
- Deploy critical thinking skills to improve workflows, maximize efficiency, and help the Company scale multi-site acquisitions.
- Collaborate with the Legal Operations Manager to improve technologies associated with the real estate function

JOB SUMMARY
The Real Estate Portfolio Manager (“REPM”) manages the company’s extensive portfolio across eighteen states (and counting). Extremely visible within the organization as a leader, the REPM collaborates closely and strategizes with the Business Development, Finance, Legal, Operations, Facilities, and other departments on all daily business matters impacting the portfolio. The REPM “owns” the landlord-tenant relationship and leads the company’s response on all issues impacting the properties, including but not limited to: negotiation of lease extensions and terminations; management of construction buildouts for new properties; coordination of facilities repairs and routine maintenance to existing properties; and the filing and processing of insurance claims. The REPM controls the lease database, driving compliance with lease deadlines across the organization, analyzing critical information, and preparing strategic reports in accordance with business needs. In addition, the REPM assists the NCO with confirming correct addresses and related information for new, de novo and transitioned urgent care centers and office locations.
Externally, the REPM is an ambassador for the company’s joint ventures on all real estate matters, working with health system partners and outside counsel in the preparation of ancillary lease and real estate documents, analyzing agreed upon letters of intent and conforming documents to reflect business terms, as needed. The REPM directs the filing of insurance claims with brokers and carriers. The REPM possesses the exceptional interpersonal skills, judgment, and discretion necessary for mutual relationships and challenging conversations with health system partners, landlords, real estate and insurance brokers, and other third parties.
