Job Description

- Become the project management system champion (we use Wrike).
- Serve as main point of contact for Marketing to troubleshoot issues with workflows and functionality, develop dashboards and reports, and identify areas of efficiency in our work.
- Support team in meeting milestones and deadlines.
- Maintain visibility into all active projects and provide regular status updates to ensure milestones and deadlines are met.
- Identify and help resolve bottlenecks to keep projects moving forward.
- Manage in-office collateral and promotional item requests, maintain inventory, and ensure restock and organization of inventory in the Portland office.
- Maintain shared marketing documentation, folders, and process resources.
- Support vendor coordination, including researching new vendors, gathering quotes, managing invoices, and tracking deliverables.
- Help identify areas to increase efficiency and create better processes.
- Act as the primary point of contact for the Marketing Team in the Portland office, building relationships, transparency, and accountability with internal clients.
- Provide support for the events team including the setup of logistical services for tradeshows; the system setup and management of projects for tracking; and support for onsite or hosted events as needed.
- Assist with website updates as needed.
- Assist in the monthly reconciliation and tracking of budgets.
- Support the team with ad hoc tasks needed such as shipping packages, prepping materials for meetings, and managing catering for internal meetings.
- Help prepare presentation materials, reports, and campaign summaries.
- An Associate or Bachelor’s degree in Marketing, Communications, Business, or a related field or comparable work experience.
- 1-3 years in a marketing coordinator, traffic manager, or project support role preferably at a marketing or advertising agency, or a professional services firm.
- A customer service focus with experience supporting internal and external clients and developing strong, collaborative relationships.
- Experience using a project management platform to manage marketing or creative work.
- Strong organizational and administrative skills; detail obsessed.
- Excellent communication skils—both written and verbal.
- Proven ability to manage multiple priorities, timelines, and tasks simultaneously.
- Comfortable working with a variety of stakeholders and navigating shifting priorities.
- Proficiency in Microsoft Office.
- Experience with sales and marketing automation and digital asset management tools is a plus.
- The ability to lift small objects (50 lbs. or less).
Overview
We are seeking an eager and passionate Marketing Coordinator to join our creative and innovative Marketing Team. You’ll be joining a high-performing, collaborative marketing team that supports the firm’s growth through brand strategy, digital campaigns, content development, and lead generation. We value clear communication, thoughtful planning, and strong execution—and we’re looking for someone who can help us stay organized and efficient as we scale. This will be based out of our Portland, ME office and will be onsite Monday-Friday, 8am-5pm. There may be occasional morning or evening work for a few BerryDunn-hosted events each year, as mutually agreed upon.

Compensation Details
The hourly rate for this role is $24-26 per hour. This rate range represents BerryDunn’s good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
