Job Description

- Review incoming legal documents such as Writs, Judgments, Decrees, as well as instructions from attorneys, for accuracy and legal compliance applicable to Oregon Revised Statute, Oregon Revised Civil Procedures, and Sheriff’s Office procedures.
- Respond to questions from attorneys, debtors, creditors, plaintiffs, defendants and the public regarding various civil matters such as foreclosures, eviction notices, bankruptcy filings, domestic relations papers, subpoenas, child support and protection orders.
- Prepare for and assist with Judicial and property sales by coordinating sales dates, creating public notices, arranging for advertising, as well as preparing bid sheets, certificates of judicial sale, post-sale notices, certificates of redemption and Sheriff’s deeds.
- Prepare and monitor court filings for bankruptcies, custody cases, and other specialized actions; Prepare and issue certificates of service, distraint warrants and other correspondence. Assist deputies with address checks, execution of orders and other service procedures.
- Prepare receipts of any incoming funds, prepare deposits and disbursements of funds, maintain transaction journals and log of receipts and audit refund requests from the public for services not completed.

- Professionally interact with external and internal customers under a wide range of circumstances as a representative of the Sheriff of Multnomah County.
- Effectively communicate as well as follow both verbal and written communication.
- Complete high-volume data entry duties quickly and accurately.

- Effectively organize/prioritize work to meet deadlines.
- Work well under pressure and manage a high volume of work.
- Be able to multi-task and be flexible with interruptions to work flow.
- Be able to efficiently use standard office software and follow standard office procedures.
- Customer service experience in high volume environments where communication skills, empathy and patience are required to achieve the goals of customers within the mission of the agency or company.
- Knowledge of and/or experience using legal terminology, and/or coursework in the legal field
- Additional clerical, legal clerical, or administrative training.
- Experience providing professional customer service to diverse communities.
- Experience working with high level confidential and/or sensitive information.
- Must be able to work together as a team under pressure with time sensitivity.
- Experience using standard applications and criminal justice databases to input and retrieve sensitive information (Word, Excel, Adobe, Crimes, LEDs etc.)
- Prior work in a public sector organization within the last five years.

- The County offers a competitive total compensation package including: Holiday Leave: You are eligible to receive 12 paid holidays per fiscal year. This includes 10 county observed holidays and 2 floating holidays.
- Paid Sick Leave: You will accrue paid sick leave at the rate of .05 hours for each hour worked (for a full-time/40 hours per week employee, it is approximately 104 hours per year).
- Vacation Leave: You will start accruing paid vacation leave at 4.67 hours per pay period as long as you remain in paid status and a full-time employee (approximately 112 hours per year for full-time employee).
- Paid Increases: Local 88 employees are considered for an annual step increase each year on their progression date until they reach the top of the range. They are also eligible for annual COLA increases when approved by the Board of County Commissioners.
- Deferred Compensation: All new employees in regular and limited duration Local 88 positions will be automatically enrolled in the County’s Deferred Compensation program, at the rate of one percent (1%) of their pre-tax wages, unless they choose to opt out.
- Comprehensive health and dental packages with most full-time employees paying only 5-10% of the monthly cost of the coverage, depending on plan selection and bargaining unit.
- Retirement contributions of 12% to the State's retirement system (PERS/OPSRP) and no financial contributions from the employee.

Our Civil Unit is currently hiring two (2) Office Assistant Senior Positions. Office Assistant Seniors require strong administrative skills and the ability to work efficiently and accurately with confidential and sensitive information. These positions also serve and interact with the public through written and in-person communication.

The work schedule for this position is Mon-Fri 8:00 am-4:30 pm
Work Location: This position works onsite and will rotate between the Columbia Gorge Corporate Center located at 2955 NE 172nd Place, and the Portland Portal Building located at 3083 NE 170th Place. Telework arrangements are not available for this position.
