- Job Objective: A brief overview of the position.
- This position is responsible for coordinating the care of the patient: escorting patient to exam room, performing vital signs, preparing patient for exam, and discharge, and ensuring the accurate documentation of patient care activity. Also responsible for managing all aspects of patient scheduling in the Eisenhower Health Palliative and Symptom Management Clinic and UCSD Specialty Clinic and ensuring all necessary documentation is in place prior to an office visit.

- Education
- Preferred: High School Diploma/GED

- Licensure/Certification
- Required: Medical Assistant course completion if hired after November 3, 2019, American Heart Association BLS
- Preferred: Medical Assistant Certificate

- Experience
- Required: Minimum 1 year MA experience in any healthcare related field.
- Preferred: Working knowledge of outpatient clinic scheduling

- Essential Responsibilities
- Demonstrates compliance with Code of Conduct and compliance policies, and takes action to resolve compliance questions or concerns and report suspected violations.
- Functions as a role model for organizational values.
- Demonstrates extensive knowledge of and proficiency with Epic scheduling and communication tools.
- Manages new patient intake and scheduling tasks for clinic (multiple providers), including data collection, outside medical record retrieval, document scanning, and patient communication to prepare for the initial clinic visit.
- Confers with assigned provider on preliminary record review to verify appropriate timing of initial visit. Contacts patient to adjust appointment time as directed by the provider.
- Collaborates with clinic support staff to ensure referral information is transmitted and completed timely prior to a patient’s initial appointment. Coordinates with research staff for clinical trial evaluation as needed.
- Reviews and manages assigned clinic referral work queues to ensure all referrals and appointments are linked correctly for scheduled appointments.
- Coordinates distribution and scheduling of unassigned new patient referrals to appropriate clinic provider.
- Reviews schedule in advance for incomplete items, including critical clinical information and authorizations.
- Manages automated scheduling technologies to communicate, confirm, and update scheduled patient visits.
- Maintains Five Star Standards for patients, physicians and visitors. Assists in monitoring clinic readiness in The Joint Commission, California and Federal standards.
- Following standard work, assists patients to exam/procedure rooms; obtains medical and social history, vital signs, height and weight, allergy information, medication reconciliation information and records data in EHR
- Assists providers so that appropriate preparation, examination and diagnostic testing occur without error and without delay.
- Processes patient referrals to other provider offices.
- Prepares patient EMR charts timely and accurately.
- Gathers reports, labs, studies or other data pertinent to upcoming patient appointments.
- Places order for films, labs and other studies as appropriate, timely and accurately.
- Collaborates with patient scheduling and schedules patients as needed.
- Answers all patient questions and requests timely and appropriately.
- Faxes and copies necessary information to insurance companies, other provider offices and other facilities as necessary.
- Records information accurately and timely in EHR.
- Answers phones, retrieves voicemail messages and returns calls timely and appropriately.
- Follows the identified dress code and safety protocols to ensure patient and employee safety.
- Maintains and practices professional boundaries with all patient interactions.
- Performs other duties as assigned.
