Job Description

- Manage schedules for all residents and preceptors in EPIC
- Coordinate any schedule changes with BIDMC contact person for residents.
- Maintain Resident and preceptors’ calendar and share out with staff on a monthly basis.
- Manage meeting with Director of Education (Resident IPE meeting)
- Manage set-up of Resident Meetings (AV equipment and/or Zoom)
- Communicate with invited speakers; coordinate presentation slides and other logistics as needed.
- Take attendance, record, and disseminate meeting minutes and recording for resident meetings.
- Supports Quarterly Interprofessional HIV Case Conference
- NEAETC: Submit LEAP event to keep them up to date, PIF, evaluation management.
- Submit monthly, quarterly, and annual reports to NEAETC.
- Optimize Training/Education communication strategies for the Department.
- Complete onboarding process for new resident’s during new academic year
- Close out any reporting, submit termination forms at the end of each academic year
- Manage and coordinate Quarterly Peer Review for Primary Care Providers – contribute to creation of office visit note lists, send Peer Review lists to PCPs, create Survey forms, track completion of Peer Reviews, report trends to Physician Leads and Quality Improvement Team
- Create Survey Assessments as needed for CME presentations.
- Complete CME certificate for providers and save in their file.
- Manage Provider competency requirements in Paylocity – includes coordination of training content, uploading participant lists, tracking completion and follow up with non-compliant providers.
- Alert Operations Manager of issues pertaining to training and non-compliance issues.
- Maintain documentation of Medical Staff external and internal CMEs
- Coordinate at least 5 Risk Adjustment focused training courses annually; ensure certain topics are covered, such as BBP training, Provider Microscopy training, etc.
- Coordinate with other departments to ensure Medical Staff compliance requirements are up to date (HR, Occupational Health, Compliance)
- Coordinate CPR classes (schedule class with vendor, book conference rooms for onsite classes, resource for online class sign-ups/payments)
- Send out communication for CPR classes to staff and other departments.
- Assist with creating reports/spreadsheet for other departments for compliance and updating Fenway roster lists.
- Maintain and share updated Medical Department documents (Medical Teams, License Information, Managed Care Information, etc.)
- Manage Provider onboarding and offboarding checklists -- work with Medical Operations Manager to help complete.
- Coordinate with internal and external departments for system access (Oracle, BIDMC portal, Masco pagers, Medication Management and Partners portal, etc.)
- Monitor/Respond to requests from Medical Operations Team group email.
- Assist medical operation manager with HURON reports and provider productivity.
- Attend daily huddle meeting regarding provider productivity with HURON group.
- Cross coverage of Medical Operation tasks as needed
- Other administrative responsibility as needed
- Demonstrated ability to learn new computer programs/applications
- Strong attention to detail
- Microsoft Office skills required (moderate) – Excel, Word, Outlook
- Ability to work on multiple projects simultaneously

Description
Reporting to the Medical Operations Manager, the Medical Operations Coordinator is a key contributor to the operational functions of the Medical Department. The Medical Operations Coordinator will primary provide educational and operational support to the Medical team including: Meeting Coordination/CME submissions, NEAETC IPE program management, Invoice Management (Oracle), Peer Review Coordination, Office Supply Management.
