      Job summary

      Be the first point of contact between the patient and the Practice, offering general assistance to the Practice team whilst projecting a positive and friendly image to patients and other visitors, either in person or via the telephone. Assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective manner. You will undertake a variety of administrative duties to assist in the smooth running of the Practice. The job will require you to facilitate communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.

      Main duties of the job

      • Handle enquiries & make appointments for patients using your knowledge of our services to help the patient to receive the help they need as soon as possible
      • Maintaining & monitoring the Practices appointment system.
      • Meet and direct patients and visitors to the practice using the policies of the practice as guidance
      • Operate the telephone system, other communication equipment and computer system as required.
      • Answer the telephone in a prompt & timely manner & deal with or redirect enquiries
      • Accept patients requests and queries & act appropriately; including home visits, registration procedures & written repeat medication requests.
      • Issue appropriate specimen containers & instructions to patients, explaining their use & later receiving back specimens when required.
      • Register new patients and update patient demographics and/or addresses following practice policy. Deal with registration problems when they arrive through the GP Links system
      • Open all incoming correspondence (electronic and paper) and process or distribute to the most appropriate person.
      • Computer data entry/data allocation and collations; processing and recording information.
      • Accept, process and reject requests for repeat prescriptions as directed by practice policy
      • Maintain supplies of stationery available in reception area.
      • Opening up/locking up of Practice premises and maintaining security in accordance with Practice protocols.
      • Behave and interact in a friendly, courteous and professional manner

      About us

      We are a large, dynamic, friendly practice consisting of 4 Partners, 14 Salaried GPs, 5 Clinical Pharmacists, 2 Practice Nurses, 2 HCAs, 3 Phlebotomists & 2 Social Prescribers. We serve 25,000 patients with a focus on clinical excellence and engagement with the modern NHS. Being located adjacent to the University of Leicester we do have a large student population.

      We have a very strong team ethos and are looking for a committed and enthusiastic individual who is interested in providing an efficient and helpful reception service to our patients.

      We are a teaching Practice with a regular allocation of trainees, we also demonstrate strong performance in QOF, CQC and we play a lead role within our PCN.

      To be responsible for undertaking a wide range of reception and administrative duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

      Primary Responsibilities

      The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

      Maintaining and monitoring the practice appointment system

      Process personal, telephone and requests for appointments

      Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

      Signpost patients to the correct service

      Process incoming and outgoing mail

      Initiating contact with and responding to, requests from patients, team members and external agencies

      Action GP2GP tasks

      Read code data on SystmOne

      Photocopy documentation as required

      File and store records as required

      Data entry of new and temporary registrations and relevant patient information as required

      Input data into the patients healthcare records as necessary

      Scanning of patient related documentation and attaching scanned documents to patients healthcare records

      Manage all queries (including administrative queries) as necessary in an efficient manner

      Maintain a clean, tidy, effective working area at all times

      Monitor and maintain the reception area and notice boards

      Support all clinical staff with general tasks as requested
