      Job summary

      Tollerton Surgery is a busy, friendly rural GP practice looking to recruit a welcoming and enthusiastic part time Receptionist/Administrator to join our dedicated team. The ideal candidate will have excellent customer service skills, a positive attitude, and a genuine desire to help patients.       Main duties of the job

      Within the role you will undertake a wide range of reception and administrative duties and the provision of general support to the clinicians and multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, patient registration, booking appointments, processing of information (electronic and hard copy) and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers. We are looking to recruit 17.50 hours per week but flexibility to work additional hours to cover colleagues annual leave is essential. Shifts will include an 8.00am start and/or 6.00pm finish, Monday to Friday, no weekend cover required.

      Tollerton Surgery is a busy rural dispensing GP Practice with a current practice population of 3,600 registered patients. We are a friendly, hardworking and supportive team working from relatively new, purpose built premises. We have a record of good performance against local and national requirements and last year maintained our Good rating from a CQC inspection.

      Tollerton Surgery is a member of a proactive and successful PCN who manage and share various specialist clinicians including pharmacists, first contact physiotherapists, an urgent care team, mental health practitioners and occupational therapists.

      Job description

      Job responsibilities

      The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

      a. Maintaining and monitoring the practice appointment system

      b. Process personal, telephone and e-requests for appointments and other admin/medical requests

      c. Receive and make telephone calls as required. Transfer calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.

      d. Process incoming and outgoing mail

      e. Initiating contact with and responding to, requests from patients, team members and external agencies

      f. Process referrals to external agencies such as secondary care using the electronic referral system

      g. Process letters as requested

      h. Process all DNA letters in accordance with current policy

      i. Action GP2GP tasks

      j. Read code data on the patient clinical system

      k. Photocopy documentation as required

      l. File and store records as required

      m. Data entry of new and temporary registrations and relevant patient information as required

      n. Input data into the patients healthcare records as necessary

      o. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

      p. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms and other private requests

      q. Manage all queries (including administrative queries) as necessary in an efficient manner

      r. Hand completed repeat prescriptions to patients, checking name and address and collecting money when necessary.

      s. Carry out system searches as requested

      t. Maintain a clean, tidy, effective working area at all times

      u. Monitor and maintain the reception and waiting area and notice boards

      v. Support all clinical staff with general tasks as requested

      In addition to the primary responsibilities, the receptionist/administrator may be requested to:

      a. Partake in audit as directed by the audit lead

      b. Support administrative and reception staff, providing cover during staff absences

      c. Complete opening and closing procedures in accordance with the duty rota

      d. As required support dispensary in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
