      Description:

      Currently 100% remote position, must be within driving distance of Grand Rapids, MI.

      What does a Medical Records Coordinator do?

      A. Prepares patient charts for upcoming appointments. Makes charts for new patients, verifies appropriate information is in the chart for next day’s appointments or enters information to be part of the patient’s medical record (EMR/paper), and obtains missing information. Converts old charts as applicable. In addition, begins the process of completing forms for patient visit and retrieves tickler file of information (if appointment was made two weeks prior).
      B. Assures appropriate signatures, then logs, files and scans various forms, letters and other communications.
      C. Files or scans charts and medical record documentation in a timely manner and in the appropriate area of the chart to assure that charts are accurate, readily located and available as needed.
      D. Performs release of medical records and obtains necessary signatures. Coordinates medical/legal issues in the release of medical records and stays current on medical/legal issues. Notifies Practice Leader for requests for release of records to facilitate discussion regarding Risk Management. Ensures appropriate charge capture for copying of medical records. Ensures appropriate coordination of medical records being copied by Healthport.
      E. Documents messages accurately, legibly, and completely and then routes to appropriate person.
      F. Responds to all patient interactions professionally with tact, patience, and compassion.
      G. Mails authorization form for release of medical records to patients when requested.
      H. Participates in daily team huddles as requested.
      I. Participates in office quality/performance incentive initiatives.
      J. Performs other related duties as assigned.

      What does a Medical Records Coordinator need?

      Education
      Minimum- High School degree.
      Preferred- Previous medical office training.


      Experience:
      Preferred -One year of experience in a medical or physician office. Basic business office and computer skills. Proficient in medical terminology. Knowledge and skills to assess and release protected patient information according to federal and state laws.
      Other Knowledge, Skills and Abilities

      Minimum:

       Effective verbal, written, and interpersonal communication, excellent customer service orientation skills necessary in order to deal effectively with various levels of organizational members, outside customers and community groups. Skills with the ability to comfortably interact with diverse populations.
       Ability to work collaboratively in a team-oriented environment with a strong customer-service orientation.
       Good organizational skills in order to work under time constraints and be able to adapt to medical situations.
       Ability to handle patient and organizational information in a confidential manner.
       Ability to demonstrate competency with a standard desktop and Windows-based computer system, including a basic understanding of email, e-learning, intranet and computer navigation. Ability to use other software as required performing the essential functions of the job.
       Knowledge of general clerical/office procedures with the ability to maintain accurate records.
       Ability to manage competing priorities and work under tight deadlines.
       Must be able to adjust working pace to flow of patients.
       Must be able to type at least 30 adjusted words per minute.


      Preferred:
      Proficient/knowledgeable in medical terminology.

      Minimum
       Constant reaching, standing, walking, lifting and bending at waist.
       Frequent computer work.
