Job Description

- Retrieving mail as directed, and sorting and distributing incoming departmental mail;
- Date stamping and logging in all (MR) requests and scanning associated paperwork into the CorTrak database;
- Following departmental check list, reviewing all MR requests for proper authorization;
- Responding to all requests for MRs that are not HIPAA compliant, do not provide necessary information to locate the patient, through via written correspondence within the appropriate time frames according to state laws;
- Printing requested MRs, matching them with their corresponding requests, updating the materials list and preparing and mailing out the billing as appropriate;
- Updating MR status in the database once it is printed and billed; and sending records to requesting party;
- Ensuring all MR requests, whether correct or incorrect/proper or improper, are answered within the established legal limit;
- Processing all subpoenas for medical MRs, physicians and witnesses for the entire company as assigned, in accordance with departmental and company policies as well as HIPAA regulations and all state regulations regarding same;
- Ensuring completion of Family Medical Leave (FML) and disability forms for patients as necessary;
- Answering phones when assigned, and assisting callers in accordance with departmental and company policies as well as HIPAA regulations regarding release of information;
- Posting incoming payments for medical MRs to the MR database;
- Ensuring all affidavits are completed and appropriately notarized before sending out;
- Maintaining printer supplies.
- Associate's degree or higher in a related field or job related experience (preferred);
- Certification/documentation as a Registered Health Information Administrator (RHIA), Certified Coding Specialist (CCS) or Certified Professional Coder (CPC) certification (preferred);
- Advanced computer skills. Prior experience with Microsoft application software (required);
- Prior experience in a medical records department within an urgent care facility or physician’s office (preferred);
- Basic medical terminology and spelling skills (preferred);
- Excellent verbal and written communication skills;
- Excellent interpersonal and organizational skills;
- Ability to prioritize and multi-task;
- Ability to read computer-generated printed reports and hand-written notes;
- Ability to sit for long periods of time (up to 8 hours at a time);
- Ability to lift up to 20 lbs.
