Job summary
We are a friendly General Practice in Crowborough in East Sussex. We currently have a vacancy to join our team of medical secretaries. The role will involve working closely with our clinical staff and providing the interface between ourselves and secondary care.
Main duties of the job
This list is not exhaustive but the role will involve typing letters, reports and associated documentation,prioritising and organising administrative work generated by hospitals, ICB, Primary Care Organisations, patients etc., and to share workload with our other medical secretaries as necessary.
A key element of the role is to ensure that referrals are processed efficiently and progress chased if necessary.
About us
Saxonbury House has a team of seven GPs an Advanced Nurse Practitioner and a team of six nursing staff.
We are keen to support learning and development and we like to in a multidisciplinary way with all our staff, medical, nursing and administrative.

Job Summary
To act as a medical secretary within a team providing medical secretarial and administrative support to the Practice
Key Duties:
The following are the core responsibilities of the medical secretary. There may be on occasion, a requirement to carry out other tasks, this will be dependent upon factors such as workload and staffing levels:
Typing letters, reports and associated documentation as required
To be proficient at prioritising and organising administrative work generated by hospitals, ICB, Primary Care Organisations, patients etc., and to share workload with our other medical secretaries as necessary
Ensuring referrals are processed efficiently
Maintain an accurate 2 week rule/urgent referrals data base
Manage all enquires in an effective manner
Scanning of patient related documentation and attaching scanned documents to patients healthcare records
Input data into the patients healthcare records as necessary
Process referrals using the electronic referral system (ERS)
Process requests for information e.g. SAR, insurance / solicitors letters and DVLA forms
Process patient letter requests and invoice for private work accordingly
Manage all administrative queries as necessary
Maintain a clean, tidy, effective working area at all times
Support all clinical staff with general administrative tasks as requested
Health and Safety
Ensure the Practice policies are understood and observed and that procedures are followed.
Ensure the appropriate use of equipment and facilities and ensure the environment is maintained in good order.
Take the necessary precautions to safeguard the welfare and safety of oneself and others in accordance with the Health and Safety at work act.
General
Contribute to own supervision and appraisal systems in line with surgery requirements.
To undertake any training as deemed as necessary to carry out the full requirements of the post
To carry out any other duties that may be required appropriate to the level and nature of the post.
The management of the Practice retain the right to amend the Job Description in consultation with the post holder and any agreed changes will be notified in writing within a month of any agreement.
As a member of staff employed within the Secretarial Team the post holder is responsible for ensuring that they work towards the aims and objectives set for Secretarial staff of the Surgery. These will be referred to within supervision and appraisal of staff.
