      Job summary

      To provide a comprehensive and highly efficient secretarial service to GPs and teams within the practice

      To communicate effectively with patients / carers regarding appointment and treatment related matters.

      Liaise with hospitals and community services.

      Main duties of the job

      Main duties for the role will be to provide secretarial support within the practice, referrals, electronic workflow documents and monitoring of 2WW.

      About us

      Our multi-disciplinary team includes GP's, Clinical Pharmacists, Practice Nurses, Health Care Assistants & others. We are also a training practice and support the training of doctors to become GP qualified. We also teach medical students and provide experience for student pharmacists. This is all supported by an extensive team of receptionists, secretaries and administrators. We are a large but friendly and supportive team and are looking for a new secretary to join us, who is hardworking and passionate about providing a high standard of care to our patients.

      Job description

      Job responsibilities

      The position being offered is for 20 hours per week.

      The post-holder will provide a comprehensive and highly efficient administration and secretarial service to GPs and teams within the practice

      To communicate effectively with patients / carers regarding appointment and treatment related matters.

      The post-holder will be working within out secretarial team, but must also be able to work independently to manage and prioritise their workload as necessary. You will be working closely with the rest of our fantastic surgery team and so being a team player is essential.

      Job Responsibilities:

      To provide secretarial support within the practice.

      To provide an efficient typing service for GPs and health professionals as required. This includes the typing of letters, patient referrals, minutes, etc. in an accurate and quality manner.

      To attend meetings and take minutes as required.

      To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

      To assist with the gathering of statistics and information when required.

      Monitor daily tasks and complete tasks as required.

      To type correspondence or other documents on behalf of the clinicians and managers.

      To provide cover for members of the secretarial team during periods of sickness and annual leave.

      To liaise with external agencies including hospitals and service providers and provide reports/results where appropriate.

      To liaise with other services (clinical and administrative) and practices and take action where appropriate.

      Deal with telephone queries from Patients, General Practitioners, Consultants and Hospitals, as well as general Departmental matters.

      To undertake referral processing for Patients attending the practice.

      Oversee workflow and distribute as necessary. Code letters appropriately.

      Monitoring 2WW referrals.

      To co-ordinate private referral requests.

      • Previous Medical Secretarial experience is essential.
      • Experience of using Emis Web Platform
      • Experience of using Docman 10 Platform
      • Must be IT literate with experience of Microsoft Office software
      • Excellent oral and written communication skills
      • An understanding and adherence to strict confidentiality
      • Ability to work without direct supervision
      • Ability to work as part of an integrated multi-disciplinary team
      • Pleasant and articulate
      • Able to work under pressure
      • Ability to prioritise work to meet tight deadlines
      • Appreciation of equal opportunities issues i.e. minority groups
