- Support the day-to-day administration of the service
- Facilitate patient pathways by coordinating, booking and proactively tracking the timeliness of patient's treatments and appointments for patients requiring medication therapies
- Close and effective liaison with different departments is an essential aspect of this role
- Excellent organisational communication skills together with high levels of accuracy and attention to detail
- Communicate effectively in writing and verbally on a daily basis
- Ensure all results of tests and investigations are tracked effectively, shown to the relevant consultant promptly and to undertake appropriate action as instructed
- Independently deal with patient/carer telephone calls and enquiries in an efficient, sensitive and confidential manner, exercising judgement to analyse and resolve any problems and referring on to the clinician as appropriate
- Clinic outcomes must be recorded accurately and complete or amend any that have not been done
- Act on correspondence received and bring to the attention of the clinician along with the medical notes
- Undertake a variety of office duties such as filing, opening and distributing post, photocopying, moving and lifting of patient notes to ensure the efficient and effective support to the department
- Plan and organise own workload efficiently and to highlight any concerns to the Admin Team Leader
- Produce and update Standard Operating Procedures (SOPs) for all aspects of the Medical Secretary role
- Good standard of education (to include GCSE grade C in Maths and English or equivalent)
- Typing at a level of speed and accuracy equivalent to 40 wpm
- AMSPAR / Medical terminology qualification
- Typing ability to a minimum of RSA II (or equivalent)
- Proven secretarial and administrative experience
- Ability to effectively use Microsoft Office software
- Customer care experience of providing a customer focused service
- Sound understanding and observance of the principles of good data management, including legal responsibilities for data protection
- Excellent organisational and typing skills
- Ability to work on own initiative, prioritise own workload and achieve deadlines
- Medical Secretary/NHS experience
- Knowledge and experience of the Trust patient administrative and information systems
- Understanding of Referral to Treatment Pathways

Job summary
An exciting opportunity has arisen for a full time Band 3 Medical Secretary working within the Osteoporosis team at Torbay Hospital.
The successful candidate will provide comprehensive and high quality secretarial, administrative and clerical support to the department ensuring an effective and efficient service is delivered.
The Osteoporosis service is a nurse led service with oversight from 2 Rheumatology Consultants.
You will have excellent organisational, secretarial and communication skills, with a pass in GCSE English Language.

The Osteoporosis Service is a nurse ked service with oversight from 2 Rheumatology Consultants, based at Torbay Hospital.
The administration team consists of 3 medical secretaries.
The most rewarding part of this role is providing a high standard of administrative assistance to clinicians, patients, carers, relatives, outside agencies and the overall team ensuring they are all well supported.
