- Answer patient calls for the physician, taking detailed messages.
- Send out new patient packets to patients making their first appointment and remind them to request their previous medical records.
- Schedule and confirm appointments, including new consults, by entering all patient demographic information prior to the office visit and mailing out necessary paperwork.
- Examine future schedules to ensure adequate availability for routine and urgent visits.
- Send reminder letters to patients for primary care, chronic care needs, timely routine checks, and preventative care.
- Process outgoing referrals and enter them in the Medent log.
- Send clinical and demographic patient data to referral specialists and track responses.
- Obtain records and ensure referral is received from the patient’s Primary Care Physician (PCP) for specialty appointments.
- Healthcare experience required.
- Experience with EMR systems.
- Medical Front Desk experience.
- Proficiency in Microsoft Office, including Excel.
- Customer service skills.
- Insurance verification experience.
- High School Diploma.
- 2+ years of Medical Receptionist experience.

The Medical Secretary provides vital assistance to physicians and patients by efficiently handling administrative tasks such as answering phones, preparing charts, and scanning documents into the Electronic Medical Records (EMR) system. This role requires strong organizational skills and the ability to work collaboratively with physicians, clinical staff, and administration.

Work Environment
The position operates Monday through Friday from 8 AM to 5 PM with flexibility for patient needs when required. You may occasionally be asked to assist in Poughkeepsie, though this is not a consistent requirement. The role requires working with minimal supervision and comfort in independent work settings. Once permanent, employees become eligible for healthcare, vision, and dental insurance, and after one year of employment, they receive 401K options. The company has 40 locations across Westchester/Putnam.
Pay and Benefits
The pay range for this position is $17.00 - $19.50/hr.
