      Job summary

      We are looking for a motivated individual to join our close-knit team of Medical Secretaries and Administration Assistants to make a difference to our practice.

      We are looking for a medical secretary to provide high quality support, to the Practice Team, health service professionals and others involving word processing and audio typing skill with general clerical work.

      Main duties of the job

      The following list below are the core responsibilities of a medical secretary, however there may be occasions where you are asked to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:

      Audio and word processing

      Typing letters, reports and associated documentation

      Liaising with external agencies, including other Primary and Secondary care services

      Ensuring referrals are processed efficiently

      Maintain accurate referral database and complete audits as required

      Process calling letters as requested

      Scanning and filing documents to patients’ healthcare records

      Read-coding into patients’ healthcare records

      Processing referrals using the electronic referral system

      Managing all administrative queries as required

      Job description

      Job responsibilities

      To work as part of a growing team to provide assistance to the operational running of the practice in terms of administrative support.

      To provide an efficient audio and word processing service for GP's and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.

      ·Assist the Practice with clerical and administrative duties of Processing and distributing incoming (and outgoing) mail.

      Receiving and dispatching mail whilst maintaining a pending system

      Maintain Filing and administrative systems, retrieving paperwork so that written or computer information is easily accessible and secure.

      Scanning and coding incoming post to maintain accurate patient medical records.

      Summarising and filing patient medical records efficiently in line with practice policy.

      Initiating contact with and responding to requests from patients, other team members and associated healthcare service providers

      Providing clerical assistance to practice staff as required, including word/data processing, filling and scanning.

      Undertake any other administrative jobs which are deemed reasonable and provide cover for members of the secretarial team during periods of sickness and annual leave.
