Job summary
The Medical Secretary, Administrator, Scanner & Coder role is pivotal in communicating with the patients regarding referrals and ensuring Docman letters are coded and scanned appropriately to the patients medical records in a timely manner, promoting safety whilst maintaining quality for the Practice by undertaking searches, audits and updating templates as required to ensure the accuracy of clinical coding to accurately capture QoF information but also for the accuracy of monthly claims for these services.
Main duties of the job
Undertaking patient referrals following the appropriate referral pathway using the electronic referral system (ESR).
Checking secretarial workflow.
Completing and monitoring referral spreadsheets including the 2 week wait referrals.
Booking patients appointments as necessary.
Dealing with medical record requests.
Processing requests for information i.e SAR, Insurance/Solicitors letters and DVLA forms.
Photocopy documentation as required.
Scanning of patient related documentation and attaching scanned documents to patients healthcare record.
Liaising with internal and external multi-disciplinary health care professionals.
Taking of practice, staff and clinical meeting minutes.
Issuing patient information via AccuRx, Text, email or postal invitations.
Monitoring and actioning tasks and emails taking the appropriate action.
Clinical Coding or Template changes to follow up any actions and keeping clinicians/staff updated.
Monitoring Docman workflow taking appropriate action as required.
Read code data from Docman.
Undertaking clinical and non-clinical audit as required.
Adding and developing appropriate templates.
Archive tasks.
Summarising patients medical records.
Undertaking searches as required.
Set up reports in EMIS.
Set up Protocols.
Monitoring EMIS DTS.

Due to retirement an exciting opportunity has arisen for an experienced Medical Secretary/Administrator/Scanner & Coder to join our fantastic team at Baddeley Green Surgery full time or part time considered.
We are a friendly, well organised practice.
Our current team consists of 1 GP Partner, 1 Part Time Practice Nurses, 2 Health Care Support Workers and excellent management team with a full complement of administration support staff.
Baddeley Green Surgery is a growing practice with a current list size of approximately 5700 patients. Our Clinical system is Emis Web utilising Docman and electronic prescribing. We strive as a team to ensure we are providing the highest quality, efficient and effective services to our patients.
