Job Description

Reports to a Director or Manager/Senior Manager.
Collaborates closely with internal teams including Sales/Account Management, Creative, Registration, Sourcing, Supplier Relations, Accounting, and Operations.
Manages external relationships with clients, hotels, DMCs, and third-party suppliers.
Leads all planning components from initial timelines to final execution.
Manages event logistics including AV, hotels, air travel, DMCs, and vendors.
Oversees contracts, monitors attrition and cancellation terms, and ensures accurate service delivery.
Conducts site inspections, facilitates client planning sessions, and clearly communicates expectations to the project team.
Builds and manages program budgets, tracks expenses, and forecasts revenue.
Leads pricing negotiations, RFPs, supplier contracts, and ensures financial targets are met.
Initiates billing, payments, and change orders; manages funding and final reconciliation with Accounting.
Serves as the primary client contact throughout the project lifecycle.
Leads project teams and ensures clear, ongoing communication with stakeholders.
Hosts regular status meetings and maintains documentation to support smooth delivery.
Provides onsite leadership, ensuring flawless execution and client satisfaction.
Manages logistics, suppliers, VIP experiences, and addresses real-time issues.
Supports renewal business by contributing to proposals, budgets, and contract execution
Bachelor’s degree or equivalent experience required.
Minimum 3+ years of experience in meeting/event planning (including incentives, association, corporation) or hotel catering, convention, sales experience required. International hotel destination knowledge a plus.
Fluency in Spanish (written and spoken) required.
Strong project management and budgeting skills.
Proven success in managing client relationships and leading teams.
Excellent communication, organization, and multitasking skills.
Proficient in Microsoft Office; quick to learn new tools and systems.
Willingness to travel up to 30%.

The Meeting Event Manager II (MEM II) acts as the primary client liaison and team lead for assigned programs and events, overseeing all aspects of planning and execution from an operational perspective. Ensures seamless coordination across all program elements while delivering exceptional client service. Responsible for managing program budgets, including forecasting and tracking financial changes.This role supports assigned client accounts and programs, with responsibilities varying by event. The Meeting Event Manager II (MEM II) leads the planning and execution of meetings, incentives, conferences, and events, ensuring all aspects are delivered on time, on budget, and aligned with client goals. Bilingual proficiency (English and Spanish) is required, as many programs may involve international destinations or Spanish-speaking attendees, suppliers, or partners.
