      EVENT PLANNER

      PRIMARY RESPONSIBILITIES:

      • Provide meeting and event planning support for 12-18 meetings throughout the year.
        • Responsible for coordination of all aspects of the events outside of airline reservations
        • 20-30 attendees per meeting; 2.5-3 days in length
      • Meet with organization leaders to understand the purpose of the event (95% in-person, 5% hybrid)
      • Plan and develop programs, agendas, budgets, and services according to customer requirements.
      • Manage the drafting of Requests for Proposals (RFPs) processes including research on hotels and venues to support the RFP process and preparing RFP Analysis documents for customer presentation.
      • Reviews all proposals and coordinates final selection with customer.
      • Negotiates and signs contracts with selected conference sites
      • Liaison with staff at a chosen event site to coordinate details including menu selections, room set up, audio visual orders, room reservations, etc.
      • Negotiates and signs contracts with selected content providers
      • Create and send online registration website for attendees to collect hotel registration needs as well as other individual requirements
      • Work directly with committee chairs in organizing on-site meetings as well as virtual programs through platforms like Zoom
      • Review event bills for accuracy and approve payment.
      • Maintain records of event aspects, including financial details.
      • Conduct post-event evaluations to determine how future events could be improved.
      • Manage complex files related to centrally collected expenses for group meeting(s).
      • Process bills, expense reports; reconcile budget reports.
      • Various administrative duties.
      • Less than 5% travel.

      QUALIFICATIONS:

      • Degree in hospitality, public relations, management, or related field strongly preferred.
      • Experience in project management with a track record of successful events.
      • Excellent organizational skills with the ability to multitask under pressure.
      • Strong communication and interpersonal skills.
      • Meticulous attention to detail.
      • Expert time management skills.
      • Financial savvy, with the ability to adhere to plan budgets and process invoices.
      • Ability to consistently display a positive, professional, customer service focus
      • Must demonstrate honesty and integrity and practice strict confidentiality at all times
      • College degree preferred

      Salary may vary depending on factors such as confirmed job-related skills, experience, and location. It is not typical for an individual to be hired at or near the top end of the range for their role. Compensation decisions are dependent upon the facts and circumstances of each case.

      However, the pay range for this position is as follows. Sales Positions are eligible for a Variable Incentive

      $26.77-$35.65
