- Validating documents and accepting/declining requests on TMT for all MENA locations
- Following up on accepted requests to ensure adhering to SLA
- Auditing requests on TMT to ensure data fields, and mandatory documents are uploaded correctly.
- Ensuring that each case on TMT is updated with the correct status and comprehensive comments
- Responding to business traveller queries on TMT errors, challenges, etc e.g., access issues and directing them to the right POC
- Collating feedback on tool from all offices and updating the TMT Change Request (CR) tracker on SharePoint
- Supporting the UAT for new TMT and DocTrack releases.
- Updating documents and details on TMT employee profile
- Ensuring that all existing immigration process flows are kept up to date in consultation with the office and cluster leads.
- Ensuring that all related MENA Business Travel trackers are kept up to date.
- Creating and updating all related MENA Business Travel process flows for new processes or locations
- Ensuring that the related MENA Business Travel policy document on Talent hub is up to date
- Ensuring the Business Travel talent tool kit and page on the talent hub are up to date
- Collating information for the Business Travel section of Monthly Immigration newsletter sent by MENA Immigration Lead
- Creating any ad hoc Business Travel reports
- Ensuring TMT Business Travel email templates and task lists are amended whenever a process changes
- Ensuring that any change requests for TMT are captured on the requestor list, data fields list, document list, task list for that location
- Ensuring that any process changes are reflected on the relevant task list on TMT
- Support Immigration Ops lead with any immigration projects
- Respond to MENA Business Travel in shared inbox within the agreed SLA
- Purchase Order submission and follow up
- Managing Legal Entity (LE) transfers for MENA employees (Consulting with the employee, coordinating the immigration team on the visa process, updating TMT, notifying the Transitions team to initiate LE transfer on SF, updating relevant stakeholders, coordinating the MyHR on employment contract issuance)
- Keeping track of involuntary exits and Internal transfers who are still under EY sponsorship in the previous office and coordinating with the relevant parties to ensure visas are cancelled within the agreed timeframe.
- Auditing immigration reports to ensure new joiners, renewals, internal transfers, and exits are accurately captured.
- Escalating any high-risk situations to the MENA Business Travel Lead and ensure that key stakeholders have adequate information to make the right decisions.
- Updating the immigration guideline documents for business travellers
- Work closely with the CBTS Teams to support all kinds of Inter-MENA travel queries and requirements, including providing support when conducting travel briefings for all business travellers.
- Coordinating and following up with the local immigration teams to provide timely updates for business travel requests, especially from CBTS.
- Keep up to date with the latest Immigration changes in the world of business travel and ensure prompt updates are provided to all relevant stakeholders.
- Maintain the reporting, data accuracy and delivery for MENA business travellers.
- Support with Rapid busy season when required (immigration process and follow up with visa agents in Pakistan. Support with travel logistics for secondees)
- Ability to communicate with stakeholders at all levels to provide clear and concise information in both written and verbal formats
- Intermediate to advanced skills in Microsoft Office, particularly Excel, PowerPoint and Outlook
- Strong attention to detail and data administration and analytics skills, with a focus on working with large quantities of data from various sources
- Time management and the ability to deliver in a fast-paced environment with competing priorities
- Ability to perform and manage multiple tasks simultaneously and work well under pressure and with time constraints
- Excellent client service skills, networking, and relationship development skills
- Ability to be successful in a virtual team environment, working with limited supervision
- Bachelor’s degree, preference will be given for those with HR Specialization
- Minimum of 4 years of MENA region immigration and travel booking progressive experience in HR or related field at a coordinator or administrative level
- Demonstrated experience working with different stakeholders with competing needs
- Working virtually and office based work in international and diverse environments

Job Summary:Talent Shared Services (TSS) is a core service line within the Global Delivery Services organization, providing multiple HR support services including Recruitment support, Onboarding support, People Data Administration, Learning Administration, Cross Border Travel, Global Mobility and Performance Management support to EY member firms. TSS provides services to the country, sub-area, area and global people teams and other EY stakeholders involved in HR, L&D and recruiting transactions and associated administration, reporting and people infrastructure. These services are delivered from our centers in Dalian, China; Kerala and Bangalore, India; Wroclaw, Poland; and Manila, Philippines. TSS team delivers consistent, high-quality and operationally efficient HR transactional services to EY through a globally efficient and effective network of GDS centers.
Virtual Talent Hub (VTH) for the respective function is an integral part of TS service offerings where the extended delivery model is used along with high-quality skills and competencies delivered virtually. This is across service lines and regions – delivering non-repetitive project-based work through skilled, agile teams. The team in the virtual hub is an extension of the regional talent teams and will cover operational/non-transnational scope.
Talent Operations VTH supports a specific Region and acts as part of the extended Region Talent Enablement team.
VTH works in a fully integrated way with onshore colleagues participating in meetings, projects, and planning activities as part of one team. The Team supports the region in performing operational and administrative tasks to allow the onshore team to focus on consultative and strategic activities based on the priorities of the region.This role will directly work with the Region Immigration team and provide full support on reporting, stakeholder management, communications, Immigration system management and general administrative tasks. This position ensures smooth operations support. Should have a professional attitude to deal with highly confidential and sensitive information. Ensure being compliant with Data Privacy and Protection within local, regional, and global guidelines. Adapt to a constantly changing legal framework and growing business environment.
