      Basic Function:
      Under the supervision of the Practice Administrator, the Mental Health Practice Coordinator II will provide all the necessary secretarial functions for efficient operation and organization for all Outpatient Mental Health Programs. The duties include patient scheduling; patient registration; reception of patients; communications with staff and patient families; medical records preparation and filing; insurance verification; billing; and administrative support for physicians, social workers; and administrative staff, typing and other support services as required in daily practice operation. This position also provides ongoing monitoring to ensure that regulatory requirements are being meet.

      Education and Experience Requirements:
      • High school diploma or GED required
      • Minimum of three years’ experience in a medical setting or an AAS in Secretarial Science with 1 year in a medical setting.
      • Must possess excellent interpersonal and communication skills.
      • Must be able to work independently and make independent decisions on a regular basis with limited direct supervision.
      • Knowledge of personal computer applications such as MS Word, Excel, Access, Outlook and Soarian billing systems.
      • Must have ability to work in an unpredictable and fast-paced environment.
      • Be able to multitask, with excellent organizational skills.
      • Ability to remain calm and professional in a psychiatric/medical emergency is required.

      Responsibiities:
      • Will answer all phone calls coming through to the outpatient programs.
      • Will utilize the computer scheduling system to schedule all patients with the appropriate provider.
      • Schedules intake appointments and coordinates initial assessments with intake coordinator, social worker and/or medical staff.
      • Will oversee accuracy/verification of demographic and insurance/financial information of patients.
      • Provides billing charge entry and insurance oversight for all patients in the program.
      • Receives and processes patient payments. Maintains necessary petty cash to properly service and receive payments.
      • Maintains supply of all forms used by staff.
      • Will maintain the mental health database.
      • Ensures that patients receive and complete any forms needing to be completed (i.e. health screenings, pt. satisfaction surveys)
      • Call codes as needed, and assist in initiating pick up orders as needed.
      • Preps and reviews charts for MD, NPP and SW staff daily, and notifies providers of any missing documentation.
      • Obtains medical records as needed for patients, internal and external providers.
      • Will complete Mandatory Education assignments and participate in other relevant training as assigned.
      • Willing to float between all three Outpatient Mental Health programs: Child & Adolescent Mental Health, Adult Mental Health and Personalized Recovery Oriented Services to provide support staff coverage as needed.
      • Provides secretarial support to the Practice Administrator and Clinical Manager, which may include attending meetings to take and transcribe minutes or assist with other projects as necessary.

      Salary Range: $15.08-21.87/hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
