      ABOUT MoMA PS1

      PS1 was born out of New York’s alternative space movement in the 1970s, transforming an abandoned nineteenth Century schoolhouse in Long Island City, Western Queens, into a space for artists and their collaborators to generate ideas and present work.

      Located in what was once an industrial enclave, the institution has now become a creative landmark in the fastest growing residential neighborhood in the country. Continuously responsive to the potential for collective impact, in 1976 PS1 was registered as an independent non-profit in a City-owned building. In 1982 it became the first Cultural Institutions Group (CIG) that focused on contemporary art as part of NYC’s Department of Cultural Affairs. Then, in 2000 PS1 also established an affiliation with the Museum of Modern Art and in 2010 it became known as MoMA PS1.

      In 2022-23 we have a budget of approximately $11MM and are a team of around 50, led by an independent Board of Directors. Working with an evolving constellation of practitioners, neighbors, and partners, we are committed to the critical work of diversity, access, and inclusion.       SUPERVISION

      The Assistant for Administration will report to the Deputy Director and work in close collaboration with the Special Projects Coordinator & Executive Assistant, in the Director’s Office, as well as with senior management of the museum.

      RESPONSIBILITIES

      • Support deputy director with calendaring, preparation for presentation, special projects-including preparation materials and coordination of board committee and board working group meetings and monthly credit card reconciliation.
      • Assist with the forward movement of projects initiated from the Deputy Director, and collaborate across museum departments as needed.
      • Collaborative with the Special Projects Coordinator & Executive Assistant, in the Director’s Office, to ensure clear, timely communication between both departments, and across the entire museum.
      • Working with the Director of Finance and Deputy Director, prepare a monthly funding obligation plan for submission to the Department of Cultural Affairs.
      • Collaborate with the Administration, Finance, Development, Curatorial and Visitor Engagement departments of the museum to gather information/narrative and complete the museum’s annual report to the Department of Cultural Affairs.
      • Prepare and submit quarterly lobbying reports; collect data from senior staff, organize and submit quarterly compliance reports to the Office of the City Clerk Lobbying Bureau.
      • Liaise with Human Resources and the MoMA IT department to initiate email accounts, address hardware and purchase needs as well as systems access for all new Coordinate all IT mandated museum-wide compliance training (i.e.: Cyber Security).
      • Work collaboratively with MoMA accounting, Deputy Director and external insurance broker to gather proposals/bids for annual insurance These include General Liability, Directors and Officers, Workers Compensation, and event specific insurance.
      • Other tasks may be assigned to ensure smooth operation of the administration department of the museum.

      QUALIFICATIONS

      • Minimum four years of experience in progressively responsible administrative roles in arts, cultural, or other non-profit organizations, with experience supporting senior staff strongly preferred.
      • Exceptional judgment, professionalism, and discretion in handling confidential and sensitive situations and matters.
      • Excellent verbal and written communication and presentation skills, experience with staff and manager at varying levels.
      • Experience in coordinating and managing special projects for senior Museum staff and department heads.
      • Demonstrated ability to proactively prioritize and manage time, juggle multiple duties and tasks, and meet deadlines, as well as ability to manage frequent shifts in priorities.
      • Experience managing multiple projects with competing deadlines; anticipating project needs and problem solving accordingly.
      • Tech savvy with strong computer skills, including strong knowledge and proficiency in Word, Excel, PowerPoint, Google Drive, and video conferencing platforms.
      • Ability to maintain a highly professional, positive, and flexible demeanor with rapid and shifting priorities.
      • Proven organizational ability, analytical skills, and attention to detail.

      COMPENSATION AND BENEFITS

      This position is permanent and full-time with a salary range of $60,000 - $62,400. Benefits include 20 days paid vacation leave; 10 days paid sick leave; 11 paid holidays; and 3 paid personal days; participation in a 401(k); life insurance; medical/health (including visual and dental); transit, health, and dependent care FSA; and pension plan.
