      What you'll be doing

      Rotation 1: Human Resources – Country Management

      Objective: Exposure to daily operations of HR, encompassing areas such as visas, onboarding, recruitment, HRIS, and employee relations. Dedicated to ensuring strict adherence and implementation of HR processes in accordance with policies. Shadows the People Relation Executive and People Relation Officer.

      Responsibilities:

      • Follow all relevant HR policies, processes, and standard operating procedures so that work is carried out in a controlled and consistent manner.
      • Process the visa application, renewal, and cancellation of all documents for labour cards, work permits and residency visas.
      • Schedule medical examinations for the processing of residence visas
      • Update document according to expiry on the HRIMS
      • Coordinate with the employees and the PROs.
      • Prepare, maintain, and update the appropriate documents.
      • Initiate, update, and maintain employees’ personal data on the HRMS.
      • Administer employee’s attendance, leaves, vacations, and overall absenteeism.
      • Follow up with all employees concerning medical certificates for sick leaves, and out of office/absence forms.
      • Handle all medical insurance claims and liaise with insurance companies for employees’ collections.
      • Issue/cancel access cards in adherence to security policies.
      • Liaise with Management for probationary period confirmation.
      • Prepare for new comers onboarding.
      • Attend to employee enquiries on company policies and procedures.
      • Participate in relevant projects and community activities as and when needed.

      Rotation 2: Administration – Country Management

      Objective: Exposure on Administration tasks such as legal formalities, stationery and office supplies, collaterals, and special projects. Shadows the Administration Coordinator and Administration Executive.

      Responsibilities:

      • Update, follow-up, and archive on administrative records of office activities, business transactions, policies, and board resolutions
      • Assist in legal formalities to trade licenses, municipality license, computer card, sale permits and their renewals.
      • Coordinate services for events, such as accommodation and transportation, catering, special needs requirements, printing.
      • Follow up on all matters pertaining to customer/supplier contracts.
      • Administer replenishment of staff uniforms
      • Audit processes implementation by front desk attendants, service assistants and drivers
      • Ensure the periodic replenishment of all stationery and groceries.
      • Ensure proper tracking of requisitions, contracts, and orders.
      • Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers in coordination with Group Procurement
