Manage information flow and communications.

Schedule and maintain complex calendar(s) of appointments, meetings, and conferences, while determining scheduling priorities.

Support management and group(s) in daily matters to gather/disseminate information, coordinate/organize activities, and assist in the facilitation of workload.

Assist with proposal, report, and presentation tasks to include gathering data, combining multiple files, and ensuring consistency in final documentation(s). Prepare a variety of written materials, numeric reports, and presentations.

Arrange travel for staff and guests (both domestic and foreign).

Establish and manage records systems.

Assure compliance with office procedures and guidelines.

Handle sensitive and personally identifiable information according to established procedures.

Provide consistent phone coverage.

Assist other administrative support staff as needed with support duties as assigned.

The position requires a minimum of a High School diploma. Participants must have excellent interpersonal, communications skills (verbal and written), and the ability to interact diplomatically and tactfully with people at all levels, both within and outside the laboratory.

Demonstrate initiative and have the ability to work flexible work schedules, including shifts starting as early as 7:00 a.m. Maintain a consistent work schedule during core hours to meet assignment needs.

Exhibit a willingness and ability to learn/perform various tasks, as new assignments are delegated.

Work on multiple tasks in a limited amount of time, often within a fast-paced and dynamic environment.

Exhibit concern for others and have experience dealing with various personalities, backgrounds, and ethnicities in a multi-level, multi-disciplinary, scientific environment.

Participation in the OAS program requires proficiency in the following software systems: Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat. Therefore, candidates selected to interview will be required to pass a Microsoft skills assessment. If the assessment is incomplete within five days of notification, the application is considered withdrawn.

2 years of administrative experience is preferred. Applicants with prior experience working in a research facility will be given further consideration. In addition, experience arranging/coordinating meetings, workshops, conferences, onsite visits, domestic/international travel, as well as Access and web maintenance tools are a plus.

Overview:
The Office of Administrative Support (OAS) Program at Oak Ridge National Laboratory (ORNL) is hiring staff to assist with the Laboratory’s various administrative support requests. Please note: The OAS position is classified as ‘casual’ and is not intended to provide long-term employment. After the initial six months, staff are eligible to apply to permanent full-time positions within ORNL. Certain benefits vary from those of regular part-time and full-time status employees.
