      Job Description

      POSITION OVERVIEW

      The Office Administrator serves as the central hub of the Local Market HQ in Austin, TX, and is responsible for orchestrating the smooth operation of the office environment by managing the front desk and related duties. The first point of contact for visitors, clients, and team members, providing exceptional customer service and ensuring all receive a first-class experience at Stream Realty Partners.

      This role will encompass a diverse array of tasks, from managing administrative duties to fostering a positive and efficient workplace culture. This is the go-to person for both internal team members and external stakeholders, ensuring that all aspects of the office run seamlessly. A warm demeanor, excellent communication skills, and attention to detail will be instrumental in creating a welcoming and professional atmosphere.

      RESPONSIBILITIES

      • Greet and welcome visitors in a professional and friendly manner. Coordinate with staff regarding visitor arrivals and appointments, and validate parking as needed.
      • Manage all building access protocols for Local Market HQ.
      • Answer and direct phone calls promptly and courteously. Ensure all phone calls received are answered and/or directed to the appropriate team member. Provide up-to-date employee and property roster to an answering service vendor.
      • Supervise receptionist staff, provide guidance on duties, ensure adherence to protocols and customer service standards. Coordinate coverage for the front desk as needed, including proactively procuring a temporary receptionist during planned absences or periods of high office traffic. Work with staffing agencies and internal contacts to ensure seamless front desk operations during all business hours.
      • Manage incoming and outgoing mail, packages, and deliveries. Oversee the FedEx account, create shipment labels as needed, and process related invoices.
      • Oversee the maintenance, cleanliness, and organization of office and meeting spaces, including conference room technology and readiness for meetings. Restock refreshments and coordinate light catering requests (e.g., snacks, beverages, and meeting lunches).
      • Serve as the primary contact for building management and vendors regarding office suite repairs, maintenance, and services.
      • Maintain inventory and proactively order office and breakroom supplies to appropriate stock levels. Manage a replenishment schedule and related vendor relationships.
      • Proficient in required accounting tasks such as invoicing and expense tracking for all Local Market vendors. Assist with data entry, electronic filing, and document organization for corporate invoices and payments. Ensure the chain of custody documentation is maintained for all checks received.
      • Assist in planning employee engagement activities and celebrations. Organize monthly recognition events in alignment with the budget.
      • Draft and distribute timely internal announcements, including building updates, employee birthdays, and other office-wide communications.
      • Oversee the upkeep and functionality of office equipment (e.g., copiers, printers, postage machines). Perform basic troubleshooting and coordinate external service when needed.
      • Maintain and regularly update the Local Market HQ Office Manual to reflect current processes and policies.
      • Coordinate new hire desk setups, including preparing workspace materials and partnering with IT to ensure equipment readiness (e.g., computers, phones, access credentials).

      Qualifications

      • High school diploma or GED required
      • Bachelor’s degree preferred
      • 3+ years of experience in administrative or office management roles
      • Strong interpersonal and customer service skills
      • Ability to manage multiple priorities with excellent organizational skills
      • Basic proficiency in accounting systems or Microsoft Excel for expense tracking
      • Comfort troubleshooting common office equipment issues
      • Prior experience supervising front desk or administrative support teams preferred
      • Experience coordinating temporary staffing coverage through agencies or internal resources preferred
      • Proficiency in Microsoft Office applications (SharePoint, Outlook, MS Teams, Excel, Word, etc.), including the ability to efficiently coordinate and schedule meetings and events using Outlook and MS Teams.
