Job summary
Mastercall Healthcare has a new and exciting role as an Office and Facilities Manager. The post holder will be a key member of the People & OD Leadership Team, supporting the People team and wider business. Ensuring that supporting plans are in place and the execution of them enables the business to meet its strategic and commercial objectives. The main purpose of the role is providing the lead for facilities management, ensuring a positive environment for all employees and visitors/patients and promoting a health, safety and wellbeing culture across the organisation. The post holder needs to be adaptable, highly organised, with the ability to respond quickly to new challenges and priorities to keep operations running smoothly.
This fantastic role is based at Mastercall Healthcare in Hazel Grove, Stockport, the role is flexible working 30 37.5 hours per week. The salary is £34 - £38K full time (pro rata) depending on experience.
Main duties of the job
This post has directed responsibility for the office and facilities management at International House, as well as health and safety processes and procedures across all the Mastercall sites/services provision. The post also provides direct line-management for the Facilities Coordinator and In-hours Reception team in a matrix environment. An important aspect of this post is the understanding and ability to always maintain confidentiality.

Providing high quality and comprehensive reception and patient/visitor management service. Supporting all employees and visitors throughout the organisation by offering information relevant to their enquiry or directing them to the most appropriate person. Ensuring the facilities/reception team delivers a first-class customer focused service that is fully compliant with relevant legislation, codes of practice and procedures.
Deal with daily health and safety issues as they occur, reporting and monitoring that Mastercall is in compliance with Health and Safety regulations and legislation. Investigating incidents, determining root causes, and implementing preventive actions. Ensuring compliance with all governance processes.
Providing wellbeing, health, and safety training, supporting managers, and ensuring induction and refresher training adherence. Fostering positive wellbeing and safety culture, encourage employee involvement and play a visible role in wellbeing, health, and safety leadership.
Overall line-management of the Facilities and In-hours Reception team. Setting objectives and prioritising workload. Ensuring that all team members receive regular 1:1s and appraisals and that any training and development needs are identified and implemented.
Liaising with all operational clinical and functional leads in developing and maintaining emergency response plans, disaster recovery and business continuity processes, conducting drills for emergency readiness.
Performing and managing inspections and audits, liaising with contacts on all sites where Mastercall delivery services. Maintaining and updating relevant risks on the risk register, conducting regular risk assessments, providing recommendations.
Ensure the premises, non-clinical equipment, and grounds are maintained and fit for purpose, including monitoring of external cleaners. Ensure that annual portable electric appliance testing is undertaken. Ensuring that the premises are appropriately insured including public liability and medical indemnity. Liaising with insurers to mitigate business risks.
Developing and managing appropriate processes for logistical provisions for all staff meetings and events, including meeting room bookings and set up, catering and beverage requirements (inclusive of out of hours events, Christmas, and bank holidays).
Ensuring all maintenance and services of equipment and utilities, including electrical appliance testing is undertaken annually or as and when necessary. Ensuring the premises, non-clinical equipment, and grounds are maintained and fit for purpose, including monitoring of external and internal cleaners, car parking arrangements, lighting, and access.
Providing fleet management for company vehicles, including leasing and vehicle insurance.
Manging the storage and archiving contracts for all physical company records in line with regulatory compliance, legislation and GDPR requirements.
Identify, recommend, and implement continuous improvements to facilities and health and safety systems system design and related processes and procedures. Participating/leading in projects relating to the development of the integrated People & OD Team, taking a lead on identifying possible improvements to the systems and playing a key role in implementing agreed changes.
Liaising with the Finance team in monitoring that there are sufficient monies in the bank to cover all related outgoings. Escalating concerns to CPO/CEO if funds are not available, where appropriate.
Managing a property/facilities budget, which will require some project management skills, strong attention to detail and supplier management and negotiating skills. Regularly reviewing all facilities, utilities and service contracts with external providers relating to, ensuring that contracts are monitored for budgetary purposes, re-negotiated in a timely manner and that charges received are in accordance with the contracts.
