      Required Qualifications: As per Civil Service Guidelines. Must have taken and passed the specific job related Civil Service Exam and be reachable on the appropriate Civil Service list. 70.1 Transfers are encouraged to apply. 70.1 Transfer Candidates must have been appointed from a Civil Service List and have served permanently in an appropriate title(s) for one year. Transfers must be within two salary grades. The Civil Service list for this position might provide insufficient acceptors, therefore, a provisional appointment may be made. Any provisional appointee will be required to take, pass and be reachable on the next Civil Service examination to be permanently appointed.

      Brief Description of Duties: The Office Assistant II (Stores/Mail) will perform office support and clerical work to meet the requirements of department operations. Such work may consist of but is not limited to data entry; math or calculations; mail delivery, supply, and inventory-related tasks; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and other related activities. This work is accomplished in accordance with applicable procedures, rules, regulations, and laws.

      Duties:

      • Ensure understanding of the departments’ overall standard operating procedures. Keeping informed with all courier services, freight, and State guidelines. Provide stakeholders with updated policy or procedural regulations required by US Postal Services, UPS, FedEx and/or other shipping courier services. Respond to concerns regarding the operation of the department area in question. Write responses to correspondence.
      • Gather, compile, and prepare data from files and/or other sources for various reports, records and other internal or external communications.
      • Coordinate arrangements for meetings, courses, and other gatherings, arrange for rooms, take attendance, and ensure that appropriate materials and equipment are available.
      • Verification for payment and report status on all funding sources on university computerized systems. Contact departments to resolve discrepancies with postage, purchases and/or decals.
      • Supervise and train students and/or temporary support staff.
      • Other duties or projects as assigned as appropriate to rank and departmental mission.

      Special Notes: This is a full-time position, 37.5 hours per week, Monday through Friday, 8:00 a.m. to 4:30 p.m. FLSA Nonexempt position, eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously. Mandatory rehire roster candidates have preference.

      The selected candidate must successfully clear a background investigation.
