- Prepare and format correspondence, reports, forms, agreements, and technical documents using word processing, spreadsheet, and database software.
- Manage office supply inventory, process orders, receive deliveries, and handle invoice approvals and payments in financial systems.
- Enter, retrieve, and manage data using MS Office and specialized applications.
- Provide administrative support to staff, including workflow tracking, meeting coordination, and deadline monitoring.
- Organize and maintain technical and administrative files; scan, validate, and purge records as needed.
- Compile and update reports from multiple sources; maintain personnel, purchasing, and departmental records.
- Support vendor communications, obtain quotes, and assist with financial system use.
- Respond to public and internal inquiries, providing accurate information and policy guidance.
- Prepare construction specifications and bid documents; manage bid processes and contractor payments.
- Maintain project and construction files; support file organization and retention.
- Resolve routine customer service issues from contractors, developers, and the public.
- Operate standard office equipment and provide backup support to other administrative staff.
- Conduct research and complete special projects as assigned.
- Assist with audits and reviews, including credit card program oversight.
- Collect and input timekeeping data; resolve discrepancies.
- Issue and track security badges, keys, and equipment.
- Respond to maintenance calls and coordinate field staff dispatch.
- Intermediate office skills, with ability to use MS Word, MS Excel, and MS Outlook are required.
- Excellent skills in proofreading grammar, punctuation, and spelling
- High level of attention to detail.
- Ability to juggle multiple workflows.
- Great customer service orientation towards internal staff and in handling customer inquiries.
- Equivalent to a High School diploma
- 1+ years of general office support experience.
