      Lexitas is a legal support company that offers an array of services including court reporting, medical record retrieval, registered agent services and legal talent outsourcing. Our Records Retrieval Division with an office located in Houston, Texas is currently looking for a Production/Office Assistant .

      SUMMARY:

      The Production/Office Assistant is responsible for daily scanning, printing, and assembly of exhibits and transcripts by adhering to productivity/quantity goals, department goals, QC check points, and customer requirements.

      ESSENTIAL FUNCTIONS:

      • Verify the accuracy of job instructions, including job number, exhibits included, witness/case name, priority status, and clarity of special instructions.
      • Check and confirm all warning notes in the company database.
      • Duplicate all CD’s/DVD’s and USB’s received as exhibits and create an archive copy.
      • Scan and upload all exhibits and job-related documents, archive files from CD’s/DVD’s/USB’s and extract individual exhibits from complete scan file, name accordingly
      and ensure that files are uploaded correctly.
      • Print, tab, and assemble exhibits and transcripts and prepare jobs for shipment by packaging, preparing courier labels, and coordinating with shipping vendors (i.e.,
      FedEx, UPS, or local courier).
      • Operate scanner, copier, and bindery equipment.
      • Prepare certain paperwork when not provided by contractors and/or affiliates and aid in communicating job details to applicable company personnel.
      • Prepare any materials and/or documents to be shipped to affiliates and ensures timely and accurate delivery by confirming shipping address, required delivery
      vendor/time and following up where needed.
      • Perform data entry by entering completed production steps into company database.
      • Scan source documents and uploads them into the company repository for the benefit of all employees who will process the job.
      • Assist supervisor with clean-up and organization of the production area and help with ensuring all production supplies are fully stocked when necessary.
      • Assist in training or cross-training employees.
      • Any other duties of a similar or lesser nature as required.

      COMPETENCIES, SKILLS AND ABILITIES:
      • Must be a positive team player and be able to communicate with team members.
      • Strong attention to details, efficient and highly organized.
      • Ability to multi-task.
      • General computer skills (Outlook, Word, Adobe Acrobat, Internet Explorer, Windows and Outlook)
      • Flexible schedule and available to work occasional overtime as required.
      • Ability to work with deadlines and work well under pressure.
      • Works well independently and with other department members.
      • Accepts direction well.
      • Excellent attendance and punctuality.

      • Familiarity with subpoenas, written depositions and affidavits a plus
      • Understanding of record tabbing, organization, and charts a plus

      EDUCATION / EXPERIENCE:
      • High school diploma or equivalent required.
      • Minimum 2 years’ experience in an administrative role or legal support service.
      • Adheres to compliance policies.
      • Constantly strives to achieve excellence in day-to-day operations of respective department.
      • Works collaboratively with all members of management to resolve departmental and organizational challenges
      expeditiously, economically, professionally and with minimum disruption to the practice.
      • Team player approach.
      • Experience working in a multi-function, multi-geography environment preferred.
