- Invoice management: Receive, organize, review and request approval of invoices and coordinate with outside team as necessary
- Expense management: Receives, checks, organizes, request approval to the expense applications submitted by each employee together with necessary vouchers, and coordinate with outside team as necessary.
- Document management: Receive, review, classify, transfer to appropriate personnel, request signature/approval and archive various documents.
- Office furniture, stationaries and supply management: prepare and update the list of the Company's fixed asset, maintain the stationary and supplies inventory as necessary.
- Bank Reconciliation: Reconcile the cash amount in the bank account with the accounting book periodically.
- Team support: Ad hoc support including various internal reporting tasks, task management
- IT related support: Coordination and initial response with related departments on IT-related issues. managing employee's subscription accounts
- Handling incoming administrative emails and other communications.
- Greeting clients and visitors as needed.
- Helping organize and maintain office common areas.

Job Description
TITLE: Office Assistant (Part-Time)
EMPLOYMENT TYPE: Temporary
SALARY: $25/h-$33/h
WORK STYLE: Hybrid (3 days in office and 2 days WFH)
LOCATION: San Mateo, CA
Temporary Duration: Jun 2025 (start date) - December 2025 (end date)
Working Hours: 10am-2pm Mon-Fri 5 days per week 20h/week
Reports to : Director (Company Operations)
Position Description
The Office Assistant, Portfolio Management and Finance, as a direct report to the Vice President, Portfolio Management and Finance, will be responsible for handling account payable and clerical tasks, which includes checking and processing invoices and employee's expense reports, conducting periodical bank reconciliation, handling incoming administrative emails and other communications, greeting clients and visitors, arranging meetings, as well as managing files, updating paperwork and other documents, managing employee's subscription accounts, and performing other general office clerk duties and errands.
Roles & Responsibilities
• Support the Director (Company Operations) to conduct all activities related to finance and administration and any other company operation.
Major activities are as follows;
• Provide executive assistant activities to Executive Committee members including schedule management, arrangement of meeting/conference call/business trip/entertainment, and support to the visit/business trip of important guest.
• Provide any necessary assistance to the employees in an ad-hoc basis.
Required Knowledge, Skills, Training and Experience
• High school graduate required. College graduate or currently enrolled in college preferred.
• Experience as an office assistant or in a related field (Nice to have: Experience assisting finance, accounting or tax related activities).
• Warm personality with strong communication skills both oral and written.
• Normal Excel, Word, and PowerPoint skills.
• Ability to work well under limited supervision.
• Have a valid driver's license.
