Job Description

- Maintain office supplies inventory by checking stock levels, anticipating needs, placing and expediting orders, and verifying receipt of supplies.
- Performs opening and closing duties for the office each work day
- Ensures the communal office spaces are tidy, organized, clean, and is professional and properly maintained and stocked with appropriate supplies
- Serve as a central point of contact for internal and external communications, including answering phones, responding to emails, and redirecting inquiries as necessary.
- Assist in the planning and execution of company events, meetings, and conferences, including coordinating logistics, managing invitations, vendor management, and arranging catering services.
- Serves visitors by greeting, welcoming, and directing them appropriately, and notifies appropriate party of visitor arrival; answers visitor inquiries or refers them to the appropriate party.
- Assists visitor/vendors with NDAs or office visitor questionnaire forms when needed.
- Assist with basic administrative tasks such as data entry, filing, note taking etc. as needed.
- Opens/Closes the office, ensuring that proper procedures and security protocols are followed.
- Assist with the onboarding process for new hires, including preparing workspace, coordinating equipment setup, office tours, badge access, and parking assignments
- Handles any sensitive employee information with confidentiality and professionalism
- Assist with the coordination, itemization, and recording of toy donations in conjunction with the toy donation team/communications.
- Files and organizes records, invoices, expense reports, and other important documentation in google drive/binders.
- Assist in daily mailroom activities
- In conjunction with the Office Manager, HR, and Security team, acts as a fire Marshall and/or emergency response team member.
- Run errands as necessary for the office
- Maintain the plants in the office
- Assists with setup/breakdown/cleanup of buffet tables, chairs, decorations, and food displays for office events/meetings.
- Acts as Office Manager and Mailroom Clerk backup.
- Perform other duties as assigned
- High school diploma or GED preferred
- 2+ years of experience in office coordination, customer service, or other relevant fields
- Experience working in food service, catering, or event management
- Proficient in Google Suite, general knowledge of Outlook.
- Has a creative flair and a keen eye for decorating.
- The ability to pay attention to detail and have excellent organizational skills.
- Enjoys planning events and entertaining.
- Must have experience cleaning in an office work environment.
- Must be outgoing and friendly, service-oriented personality.
- Prefer a high energy person who needs little to no supervision and can get the job done in a timely manner.
- Self-starter, ability to prioritize and do what it takes to get the job done.
- General knowledge of food safety and food service desired.
- Poised and discreet.
- Takes pride in their work and is a team player.
- Comfortable in a fast-paced environment, with the ability to effectively handle shifting priorities
- Must be trustworthy and reliable.

The office coordinator is responsible for assisting in the daily operations of the office. This role maintains clerical functions and performs tasks that assist in facilitating the workflow of the office, acting as the point person at the front desk greeting any visitors/customers, and facilitating their in-person meetings, assist in the coordination of office/special events and perform other duties as assigned.
