      Job Overview

      The Illinois Environmental Protection Agency (EPA), Bureau of Water (BOW), Water Pollution Control (WPC), Administrative Support Unit is seeking an Office Coordinator, Option 2., Lead Worker for Public Water Supplies. The ideal candidate for this position will be organized, detailed and possess the ability to adapt to change in a collaborative, fast paced environment. The ideal candidate will also need to be able to communicate effectively verbally, electronically and in writing with both internal and external stakeholders.

      Job Responsibilities

      40% 1. Performs a variety of technical and complex office support functions for the professional/technical staff of the Division of Public Water Supplies (DPWS), Bureau of Water (BOW), BOW Staff Assistant:

        • Utilizes a personal computer to keyboard complex charts, statistical reports, correspondence, memos and technical reports including; Operator Certification data and reporting, Safe Drinking Water Information System (SDWIS), Groundwater Rules NCAs and Groundwater Monitoring Data, geologic well logs, well sample results, harmful algea bloom results and procedure manuals
        • Assists staff with proper formatting of documents, for distribution to the public.
        • Revises, updates and keyboards desk procedure manuals
        • Determines work methods and procedures to complete assignments

      25% 2. Serves as lead worker to lower level administrative support staff:

        • Assigns and reviews work
        • Provides guidance and training to assigned staff
        • Advises immediate supervisor regarding performance of staff
        • Assists with training for new procedures and new employees.

      15% 3. Serves as liaison to the Agency Records Division for the retrieval of files/documents/information;

      • Properly identifies project files and ensures the identification/labeling of files for the various programs within the Division.

      10% 4. Receives, opens and distributes the incoming mail for the Division;

      • Maintains a log of certified and trackable packages sent/shipped/received by the Division.

      05% 5. Receives, screens and directs incoming telephones providing authorized general information and answering routine Division inquiries from the general public and Agency staff.

      05% 6. Performs other duties as required or assigned, which are reasonably within the scope of the duties enumerated above.

      Minimum Qualifications

      1. Requires knowledge, skill and mental development equivalent to two years of secretarial/business college

      Or completion of high school and two years of related office experience

      Or two years of independent business experience.

      2. Requires the skill in keyboarding accurately at 30 words per minute.

      Preferred Qualifications (In Order of Significance)

      1. Prefers extensive knowledge of office practices, procedures and programs.
      2. Prefers extensive knowledge of composition, grammar, spelling and punctuation.
      3. Prefers extensive knowledge of basic mathematics.
      4. Prefers working knowledge of the logic of computer programs.
      5. Prefers ability to follow oral or written instructions.
      6. Prefers ability to operate commonly used manual and automated office equipment and perform routine maintenance.
      7. Prefers the ability to utilize a personal computer with knowledge of Microsoft Word, Access and Excel software.
