Office Management Assistant
AVL Powertrain UK Ltd is seeking an Office Management Assistant to provide comprehensive administrative support and ensure the smooth running of our Tech Centre. Supporting the Tech Centre Manager, the management team as well as our visitors (internal and external). This role is based on site at our Tech Centre in Coventry.
The role will contribute to the smooth running of the Tech Centre. Our ideal candidate will be a motivated self-starter, with a helpful, collaborative and can-do attitude who will maintain high standards of professionalism, efficiency, good communication, discretion, and sound judgment at all times. They must be willing to carry out tasks as needed, regardless of whether their job description depicts this.
YOUR RESPONSIBILITIES:
• Greet visitors and ensure that company protocols are followed.
• Responsible for scheduling and managing complex calendars including prioritising and resolving related conflicts and competing scheduling demands from both internal and external stakeholders.
• Organise and coordinate complex international/domestic travel within company guidelines and using established systems/processes.
• Provide support for meetings, handling logistics, such as conference registrations, room reservations (internal and external), catering and local travel.
• Ensure that day-to-day operations and logistics for the Tech Centre office run smoothly.
• Work with colleagues from other AVL Powertrain UK locations to provide remote support to offices during times of absence or high demand.
• Support the HR team as needed with training logistics (meeting room, catering and greeting the trainer and be a practical, local point of contact for the trainer and delegates).
• Support special projects and initiatives as assigned, demonstrating flexibility and adaptability in handling diverse tasks within areas of capability.
• Able to prioritise and work with a variety of stakeholders at all levels.
• Manage expectations whilst maintaining communication.
• Co-ordinate with colleagues in other locations to ensure that adequate cover remains in place during periods of holiday/absence.

Annual Remuneration: Due to UKVI compliance requirements, we are obligated to state the annual gross salary (full-time) for this position. The salary range is between £28,000 - £30,000 and we will offer market-conforming remuneration taking qualifications and professional experience into account.
