      The Office Manager performs highly responsible administrative duties of a specialized and complex nature under limited supervision. Including coordination and oversight of the daily operations of the office of the Department of Recreational Sports to include providing administrative support for the director and senior associate director(s). May prepare departmental utilization reports, set up and maintain files, and attend meetings. Serves as the major link of communication and information dissemination both internal and external to the department.

      Manage the daily functions of a busy administrative office including calendar management for director, scheduling meeting rooms and flex offices in the department office suite. Appropriately shares and responds to all general information inquiries to the department (in person, email, and phone calls). Ensures office is equipped with necessary supplies and resources. Maintains staff kitchen

      Provide customer service to guests and visitors to the department. Provides support for director and department leadership. Attends meetings and takes minutes as necessary including quarterly Advisory council meetings, disseminates information on behalf of the director. Exercise tact and confidentiality around sensitive discussions. Assist with planning and execution of special events. Create and provide materials for department including reports, digital presentations and other data snapshots. Order catering, arranging off-site meetings and tracking of staff participation in various systems and training for director. Plans staff appreciation and celebration events; Manage distribution of mail for department, service for office equipment and prepare and complete purchases related to staff nametags. Creates forms to collect data and prepare spreadsheets and documents. Assist with procurement, and travel planning.

      MINIMUM REQUIRED QUALIFICATIONS
      High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.

      Additional Information:

      Desired Qualifications: Bachelor’s degree in business administration, communications, or related field. Excellent written and verbal communication skills; proficiency with MS Office Suite; customer service experience; ability to manage projects ranging in scale; maintains high attention to detail; Experience in office management; experience working in higher education setting; experience supporting a Director.

      The pay range for this position is $21.11 - $22.82 and will be based on available budget, internal equity, and candidate's qualifications.
