- Assist Director in the daily operations of the Office of Student Affairs. Responsible for administrative duties, including but not limited to office operations, committee meeting arrangements, clear and timely communications with committee members (Standing Committee and full Commission), and other assigned committees/advisory groups, responsible for taking/recording meeting minutes, prepare minutes on a timely basis and track status of office and committee reports/assignments, and timelines. Prepare Committee/Commission materials, publications, media, and other relevant documents. Assist Director and staff in preparing documents and reports. Secures confidential information. Daily communication with Director on status of all projects and successful completion of assigned projects within established time schedules. Maintain Office of Student Affairs calendar/schedule.
- Provide technical assistance to the Office of Student Affairs director, program managers/coordinators in support of assigned program responsibilities, including administration of state grant/scholarship programs, Tucker Hipps Act, etc. in compliance state statutes, regulations and agency policies. Maintain up-to-date status of assigned program area(s) including Office responsibilities and state scholarship/grant programs (Master Calendar, Accountability Reports, reports due to the General Assembly, etc.). Support the development, planning, and execution of work activities of the Office of Student Affairs. Prepare and send correspondence as necessary.
- Assist with the planning and implementation of policies, procedures and processes of the Office of Student Affairs, plans, develops and participates in presentations and workshops (students, parents, and community/state agencies). Assists with the planning and implementation of policies, procedures and processes of the Office of Student Affairs, Update Office of Student Affairs information on the agency's website and other social media.
- Respond timely to student, parent, high school counselor and other stakeholder inquiries about all scholarship and grant programs assigned to the Office of Student Affairs and provide accurate information regarding scholarship and grant programs (i.e. process, qualifications, amounts, etc.) for all programs within the Office of Student Affairs. Prepare documents, collect and compile information in support of the Office of Student Affairs assigned tasks/responsibilities (surveys, etc.) and secure/protect information according to FERPA and HIPAA statutes/regulations.
- Communicate effectively with the Director, Executive Director, Commission members, staff, legislative staff and constituents. Communicate with the Director on all assigned responsibilities, including the status and progress on assigned projects. Follow up shall include communication with the Director and Office of Student Affairs personnel on status of all projects and follow up within established time schedules. Provide clear and specific objectives and completed goals/outcomes for all program responsibilities. Performance of other duties as assigned.
- Able to use Microsoft (Excel, Word, Teams, etc.), and other software.
- Ability to exercise judgment and discretion.
- Ability to establish and maintain effective working relationships.
- Ability to interpret and apply laws, regulations, policies and procedures.
- Ability to communicate effectively to coordinate and support the daily administrative operations of the Office of Student Affair, including committee meetings/correspondence, minutes/maintenance of data, files and records, contact with students and families, follow up calls, emails.
- Knowledge of laws, regulations, policies and procedures.
- Position requires skills to review, evaluate and report on assigned program area(s), provide technical assistance and training to staff, the public and other governmental entities, make recommendations to office staff.
- Position may require overnight travel.
- Position may require employee to work evenings and weekends.
- Position may be required to report to work during emergency situations.
- Work is subject to be reviewed on a monthly basis.
