      Job Description:

The State Fire Marshal is seeking a full-time Office Specialist with great communication and interpersonal skills to join our dedicated team of professionals. This position supports both the Plans & Fuels Divisions of the State Fire Marshal s Office. Under general supervision, performs varied technical and clerical support activities for the two divisions. This position has the option of a 60% Home Office Based, 40% Office Based position, once sufficiently trained based on the Division Managers approval. Initial work and training will be 100% office based until this time.

      Job Duties: Answer phone, transfer and/or take messages for divisions. Make travel and hotel arrangements; assist in setting up conferences and meetings. Prepare, process, mail and file underground storage tank operating permits, all closure, install applications and permits. Collect, compile and summarize various data and reports from a variety of sources. Respond to staff and general public requests for information. Research facility files and database for field deputies and general public. Track and file inspection reports from field deputies. Prepare monthly and annual reports and disseminate to field inspectors and the public upon request. Respond to, document and disseminate spill reports and complaints. Prepare compliance check requests, maintain underground tank facility files, convert paper files to electronic format; order supplies and equipment, keep documents and forms supplied and updated. Prepare reports of field inspection activity for public viewing on the website. Assist with the annual underground storage tank billing. Maintain files and permitting for Aboveground Storage Tanks. Assist with the compilation of data, and preparation/submittal of reports for federal grant awards. Cross train with Pipeline Safety staff to assist Division Chief as necessary. Maintain procedural manuals. Work directly with divisions and customers to receive plans, forms and fees, enter information into established database, and review, print and send completed reviews to customers; proctor testing for the renewal and issuance of licenses; Other job duties as assigned within the scope of the classification.

      Requirements/Qualifications:

      Minimum Qualifications: Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency. OR Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.

      Preferred Qualifications: Experience in documentation management. Experience with MS Office including Word, Excel, Outlook, Access and PowerPoint. Experience with OnBase Unity Client. Excellent written communication.

      Other: This position requires travel. As such, the incumbent must be able to present a valid driver’s license or another form of reliable transportation. Regular and reliable attendance is required.


      Knowledge, Skills, and Abilities: Knowledge of office administration procedures. Strong computer skills including MS Word, Excel, Outlook, Access and PowerPoint. Strong typing and keyboard skills. Strong organizational skills for managing administrative processes and verbal communication skills. Professional writing capabilities. High attention to detail and level of accuracy. Good telephone skills. Ability to multi-task, manage multiple and changing priorities at once, and deal with constant interruptions while doing tasks that require a high level of concentration. Ability to work as part of a team. Good initiative to meet deadlines. High level of discretion and judgment. High energy, flexibility, good attitude, temperament and patience.
