      The Office Support Specialist Sheriff position is responsible for performing a variety of diverse and complex clerical tasks that require attention to precision and accuracy. Duties involve the application of some limited judgment in carrying out the job requirements, however, office routines governing tasks are in place and established. Positions in this classification are responsible for substantial office support tasks including file maintenance, data entry, customer/client relations and service activities involving the application of various regulations, rules and departmental routines. All assignments involve utilization of numerous computer programs.

      Duties and Responsibilities

      • Deposit money received.
      • Responsible for control and maintenance of filing systems. Creates files, maintains files, and closes files in accordance with records retention and data practices policies.
      • Performs receptionist duties: in person, by telephone or by e-mail. Determines nature of contact and assists with information, forms or materials or refers to appropriate person.
      • Provides clerical support to assigned staff including transcription, completes forms, enters data, creates meeting minutes, etc.
      • Provides customer service to the public and other county staff following prescribed rules, processes and routines. Examples are license applications, fee collections, voter registration, voucher creation, account balancing, etc.
      • Performs a variety of routine and complex clerical functions to assist in the maintenance and operation of the assigned department. Examples are preparing billings, compiles information for reports, assembles and distributes information.
      • Performs complex data entry responsibilities for a wide variety of computer systems and software, depending on area of assignment.
      • Processes incoming and outgoing mail and faxes.
      • Processes applications for gun permits and correspondence.
      • Performs finger printing for public background checks.
      • Performs scanning of microfilm Laserfiche for historical records.
      • Attends training, conferences and staff meetings as required.

      While these are the primary focus of the position, we believe strongly in teamwork and employees will be called upon to perform a variety of duties as part of their role with the County.

      Position Requirements

      Knowledge, Skills and Abilities

      • Knowledge of basic grammar, mathematics and business composition.
      • Knowledge of modern office support, office equipment operations and general business practices.
      • Ability to understand and apply oral and written instructions.
      • Ability to use computers and relevant software including word processing, spreadsheet programs, data entry and file maintenance.
      • Effective oral and written communication skills.
      • Ability to work independently and accurately.
      • Skill in managing time, organizing, and setting priorities.
      • Ability to perform data entry for prolonged periods.
      • Ability to maintain confidentiality and data privacy according to laws, rules and policies.
      • Ability to perform assignments under moderate supervision within standard operating procedures.
      • Ability to follow standard procedures and tasks where basic analytical ability is required. Detailed guidelines and procedures are generally used to make decisions or determine actions.
      • Ability to maintain effective communication and working relationships with inside and outside contacts.

      Education and Experience

      • High School Diploma or GED
      • One to three years relevant work experience
      • Computer, typing and data entry experience/training.

      Physical and Mental Requirements

      This job typically requires sitting, standing, walking, feeling, manual dexterity, grasping, talking, hearing, typing, and seeing. There is exposure to computer keyboards and video screens. This position is generally light-duty and may require the exertion up to 20 pounds of force.
