The Office Technician III is a full-time employee of the Planning Department essential to and charged with the daily administrative work associated with the permitting of residential and commercial demolition and building projects of all types. More importantly, the Office Technician III is the primary and most visible employee of the Building Department with the most in-person interaction and communication with the public. Like all other building department positions, the Office Technician III is an educator and a facilitator, providing a high level of customer service. The Office Technician III shall possess the ability to: • Demonstrate a high degree of professionalism when dealing with coworkers, County management, the public, developers, contractors, subcontractors, architects, and engineers. • Be a patient and excellent listener to fully understand the question(s) asked or issue(s) communicated so to gather all pertinent and necessary information from all stakeholders. • Demonstrate empathy and genuine concern with a supportive can-do customer service attitude as often things are not going well for the stakeholder. • Have an excellent eye for detail with all written communication, especially permit applications. • Demonstrate an air of confidence in their knowledge and ability in their administration of building permits when interacting with the public. • Keep an open mind in seeking out solutions for the public, understanding that there are rules, and there are exceptions to rules, mindful that no two projects are exactly alike.$22.46 - $28.45 per hour plus benefits (see benefits tab on the job posting). This position will normally start at $22.46 an hour. This position is non-exempt from the minimum wage and overtime requirements of the Fair Labor Standards Act and is therefore eligible for overtime pay.As an applicant for this position, you should be aware of Senate Bill 19-085, the Equal Pay for Equal Work Act. The act requires employers to announce the pay range for job openings. This range encompasses the nine pay steps available should you receive the position and demonstrate satisfactory performance over time.The following job duties are established to outline the basic duties and responsibilities of the above captioned position. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Daily Duties (80%):• Perform permit intake checking for proper application type, accuracy, and completeness, rejecting those applications that are incomplete, while advising the Applicant of all deficiencies • Advise the Applicant of current plan review turnaround times (as they are subject to change based on staffing levels and workload)• Route to and communicate with all applicable County departments information necessary to facilitate required ancillary approvals to expedite building permit approval and issuance with real-time updating of the permit workflow• Assess all project related fees and collect fee payments• Process inspection requests received from all sources, Hotline, ACA, email, phone & in person.• Field inbound phone calls and email requesting information or service• Make outbound phone calls and send email updating stakeholders in the change of statuses regarding building permit administrationAdministrative (10%):• Sort and deliver U.S. mail• Maintain and keep stocked all permit forms and permit related forms at all times.• Check file drawer of completed permits monthly. Update Accela permit files under the “Activities” tab• Pull finals and prepare to send to Assessor’s office. This is done in January & July• Perform administrative tasks as requested by coworkers and as directed by the Supervisor• Notify supervisor of trending/repetitive negative feedback from coworkers, County departments and the public regarding building department policies, procedures, or customer service so improvement measures can be considered in the interest of improved customer service• Constantly evaluate written materials and procedures for typos, discrepancies, dated information, errors and omissions, making corrections and recommendations where improvement can be achieved. e.g. Building GuidesOther Duties as Assigned (10%):• Present themselves in a professional and courteous manner and appearance at the service counter to greet and support all walk-in service requestors.• Follow policies and procedures, the Weld County Code of Conduct and adhere to strict confidentiality guidelines and appropriate release of information outlined in both.• Not all duties mentioned may be applicable to every position, and the examples provided do not encompass all possible duties that may exist within this job classification.REQUIRED QUALIFICATIONS: • Fluent in conversational Spanish• HS Diploma or GED PREFERRED QUALIFICATIONS: • Working knowledge of Accela, MS Office, and Planning Services proceduresREQUIRED LICENSES/CERTIFICATIONS: • Must possess a driver’s license by the employment start date and maintain a valid license for the duration of employment.PHYSICAL REQUIREMENTS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Used for those activities which require ability to receive detailed information through oral communication, and to make fine discriminations in sounds, such as when making fine adjustments on running engines.WORK ENVIRONMENT:Standard work hours for this position are 7:30 AM to 4:30 PM almost exclusively in an office environment.
