Draft of Legal Documents and ensuring that the negotiated terms and conditions are accurately, and in detail, reflected in Lease Agreements / Addendums, complying with OMF Property Shop protocol and legal requirements, for the Legal Advisor to check and sign off on. Error free and timeous. Ensuring that all risks are pointed out to Signatories/Legal Advisors.
Managing, considering and affecting first attempt at amendments, where necessary, to OMF Lease Agreements, in terms of OMF Legal Protocol and liaise with Legal Advisor for confirmation on correctness/acceptability.
Agenda & Minutes Compilation:
Presentation Packs for OMF Property Committee Meetings as prescribed by OMF Properties Protocol. Setup of meetings including doing checks on invitees, attendees & pack distribution.
Managing & overseeing the compiling of all the relevant Property Shop Department reports for OMF reporting. Ensuring legibility of all reports to be presented and distributed electronically.
Overseeing effective timelines to ensure Property Pack distribution deadline in terms of OMF Protocol.
Ensuring Handout Presentation Packs are compiled and sent timeously prior to meeting date.

Reporting / checks & balances:
Prepare Agenda/Minutes of various internal Meetings, follow up on actions/matters arising to include in draft agenda, for Chairperson to check & send out
Legal List: Assist with the management of Lists and the compiling of the information, with the Legal Advisor’s ultimately responsible for accurate capturing of provided in the Legal List.
Attending to internal Lease Audit (Legal and Rental / Closing Memos): Reconciliation of contents of Lease correspond with Minutes, Offer, FICA requirements, Letters of Acceptance, including checking the correctness of the aforesaid documents as prescribed by OMF Properties Protocol.
Assisting in the driving of deadlines and updates with the team.
Ensuring that all administrative actions are detailed and accurate, and adequate records are kept of same if applicable. Communication to employees timeously about sick and annual leave as prescribed by OMF Property Shop Protocol.

From time to time the Legal Administrator can be tasked to assist with ad hoc projects by a team’s outside of Legal.
Attend to finance queries
Assist with follow-up with Landlords to obtain signed lease agreements / Addendums
MDA and/ or MRI knowledge
Drafting of Lease Agreements and Addendums
Knowledge of Microsoft Excel
- Grade 12.
- Minimum 3 years Leasing Administration experience essential.
- Own transport and valid drivers licence.
- Property Management related qualifications will be advantageous.

Job Description
Responsible for lease / legal administration functionality through own efforts over periods of up to 3 months. Prepares lease / legal documentation (offers to lease and lease /legal agreements) and opening memos in terms of OMF property protocol. Ensures compliance with OMF protocol and general support in respect of presentation of transactions to property committee and subsequent communication to landlords. Prepares obligation lists for branches and attend to lease / legal audits and source verification on lease / legal documentation.Minimum Requirements
